Reports to: Executive Assistant and Operations Coordinator, Bridge Research Consortium
Hours: Temporary full-time (35 hours/week), to February 2028
Salary range: $64k–$76k annually (commensurate with experience)
Location: Simon Fraser University, Burnaby campus (not remote/hybrid)
ABOUT THE BRIDGE RESEARCH CONSORTIUM
The Bridge Research Consortium (BRC) is a $13.56M project (2024–2028) funded through Stage 2 of the integrated Canada Biomedical Research Fund (CBRF) and Canada Foundation for Innovation (CFI)/Biosciences Research Infrastructure Fund (BRIF) competition, with contributions from additional funders. It is one of 19 projects funded to strengthen Canada’s biomanufacturing capacity for future pandemic readiness. The project team is composed of two Scientific Co-Directors, a multidisciplinary team of twelve leading social sciences and humanities scholars located at 9 universities across Canada, plus Australia and Vietnam, and a Knowledge Mobilization (KM) team located at Simon Fraser University (SFU).
The BRC Secretariat is responsible for the management of the overall project budget, issuing of annual funding to the Lead Scholars, issuing and managing contracts with national partners and service providers, and preparing midterm reports and other accountability activities. The Knowledge Mobilization Unit manages a budget of $3M, multiple large contracts, and five staff.
Position Summary
The Knowledge Mobilization Coordinator supports KM activities and outputs as part of an interdisciplinary team working across Canada. The KM Coordinator will develop and apply skills in administration, planning, budgeting, and logistics. The position reports to the Executive Assistant and Operations Coordinator, with day-to-day direction of the Knowledge Mobilization Lead.
Key Responsibilities
Knowledge mobilization support
- Support the KM Lead and KM staff with planning, organizing, coordinating, and implementing KM activities including logistics, budgeting, internal communications, reporting, and dissemination of materials.
- Provide administrative support for the production of KM outputs including briefs, reports, presentations, webinars, and public-facing resources.
- Maintain and update KM tracking systems and tools, and track KM deliverables, timelines, and reporting requirements to ensure outputs are completed on schedule.
- Provide administrative support to the KM Lead and KM staff for meetings including scheduling, preparing agendas, taking meeting minutes, and coordinating logistics.
- Support the documentation of meetings and other engagement activities with partners, collaborator and other knowledge users.
- Contribute to the evaluation of KM activities and process improvements.
- Support KM team with expense claims in FINS.
- Liaise with SFU administrative offices, external collaborators, and partner institutions as needed.
- Coordination, including but not limited to scheduling, event planning support, note-taking, costing, communicating with service providers and partner organizations, organizing documents and folders, and other related tasks as needed.
- As we are a national project, occasional flexibility is needed to accommodate Canadian time zones.Administrative & Team Support
- Support Executive Assistant and Operations Coordinator with additional duties and administrative tasks as required.
- Provide administrative support to Director and BRC office as needed.
- Backfill clerical duties during EA or Financial Clerk’s absence.
Qualifications
- Undergraduate degree in a relevant field (e.g., public health, communications, social sciences) or an equivalent combination of education and experience.
- Minimum two years of experience with providing administrative support, financial processes, and/or project coordination in a research or higher education setting.
- Strong organizational and planning skills, with the ability to handle multiple priorities simultaneously.
- Strong oral and written communication skills with experience preparing administrative and support materials for diverse audiences.
- Familiarity with event planning, meeting coordination, and administrative systems.
- Proficiency with MS Office and project management software; some experience with SFU administrative systems an asset.
- Ability to work collaboratively in a team environment while also independently managing responsibilities.
- Excellent interpersonal, problem-solving, and organizational skills and demonstrated ability to handle multiple concurrent demands and meet frequent deadlines.
- Excellent secretarial and administrative knowledge and skills, including Word, Excel, PowerPoint, SharePoint, Zoom, Teams, Outlook and other administrative and financial tracking software.
- Ability to maintain records with a high degree of accuracy.
- Ability to handle confidential material with discretion.
