HR COORDINATOR 

Role Overview 

Encepta is looking for an organized and dependable HR Coordinator to take ownership of the day-to-day processes that keep our people operations running smoothly.

This is a hands-on operational role covering onboarding, offboarding, employee documentation, leave administration, HRIS management and reporting. You will work closely with our Director of People & Culture, Talent Specialist, embedded recruiter and corporate services team.

The right person will enjoy creating order, maintaining accurate records and ensuring important processes are completed correctly and on time, even when priorities change.

What You'll Be Doing

Onboarding and Offboarding 

• Coordinate onboarding from start to finish, including documentation, systems access, benefits enrolment, and first-week arrangements.
  


• Work with hiring managers and corporate services to ensure new employees are ready for their first day.


• Coordinate offboarding documentation, benefits termination, employee records and exit administration

Employee Services 

• Prepare employment verification letters, income confirmation letters, government forms, and other employee correspondence.
  


• Coordinate employee training enrolments and changes.


• Act as a reliable first point of contact for routine employee enquiries and escalate sensitive matters appropriately.


• Administer maternity and parental leave, short- and long-term disability leave, and workers’ compensation processes.

HR Systems and Reporting 

• Maintain BambooHR as the organization’s accurate system of record.


• Keep employee files complete, confidential, and audit-ready.


• Prepare regular reporting on headcount, turnover, tenure, and training compliance.


• Review HR data for inconsistencies and flag anything requiring further attention.


• Support payroll by gathering and verifying employee information in partnership with Finance.

HR Programs and Compliance 

• Help maintain employee handbooks, policies, and document templates.
  


• Support performance review and compensation cycles through scheduling, tracking, data preparation, and follow-up.


• Maintain safety training and employment standards trackers across the provinces in which we operate.


• Document and improve HR processes so they can be followed consistently.

What You'll Bring 

• At least 2 years experience in HR coordination, HR administration, or another comparable process-focused role.


• Post-secondary education in Human Resources, Business Administration or a related field.


• Hands-on experience using an HRIS such as BambooHR, Dayforce, ADP or a similar platform.


• Working knowledge of Canadian employment standards, benefits administration and employee leave processes.


• Strong Excel or Google Sheets skills, with the ability to identify errors or inconsistencies in data.


• Excellent organisation and follow-through, including the ability to manage multiple open priorities without losing track of important details.


• Clear and professional written communication skills.


• Sound judgement and genuine discretion when handling confidential information.


• A willingness to build and document processes where established procedures do not yet exist.

What Success Looks Like

During your first year, you will:

• Take ownership of the daily HR coordination workflow and improve the accuracy of our employee records and BambooHR data.


• Establish consistent, documented onboarding and offboarding processes.


• Ensure employee requests and recurring reports are completed accurately and on time.


• Become the person who understands how our core HR processes work and has documented them clearly enough for others to follow.
