Commercial Project Coordinator - New Build

Position Overview:

The Project Coordinator will play a crucial role in supporting the Project Managers by managing the administrative and coordination tasks associated with multiple construction projects. This role requires a proactive individual who can handle project documentation, manage schedules, and assist with project-related communications. The ideal candidate will be highly organized, possess strong communication skills, and have experience with construction project management processes .

Key Responsibilities:

• Assist in preparing, reviewing, and managing Request for Change Orders (RFCO) and Change Orders to ensure all changes are documented, tracked, and approved in a timely manner.
  


• Create and maintain cover sheets for project documents and submittals.
  


• Coordinate and manage the preparation and submission of Requests for Proposals (RFPs) and Requests for Information (RFIs).
  


• Support the two Project Managers (PMs) by organizing and scheduling meetings, preparing agendas, and taking meeting minutes.
  


• Assist with the development and maintenance of project schedules using MS Project, ensuring all project milestones and deadlines are met.
  


• Coordinate with subcontractors, vendors, and internal teams to ensure timely submission of project deliverables and compliance with project requirements.
  


• Maintain project files and documentation, ensuring all records are accurate and up-to-date.
  


• Assist with tracking and reporting project costs, budgets, and schedules.
  


• Provide administrative support, including drafting correspondence, preparing reports, and managing project communications.
  


• Perform other duties as assigned by the Project Managers to support the successful completion of projects.
  

Requirements

What We'd Like to See:

• A bachelor’s degree in Construction Management, Business Administration, or a related field is preferred.
  


• A minimum of 2-3 years of experience in a similar role within the construction industry.


• Familiarity with construction project management processes, including RFCO, Change Orders, RFPs, and RFIs.


• Proficiency in MS Project and other Microsoft Office applications (Word, Excel, PowerPoint, Outlook).


• Strong organizational skills and attention to detail.


• Excellent communication and interpersonal skills.


• Ability to work independently and collaboratively in a fast-paced environment.


• Strong problem-solving skills and the ability to manage multiple tasks simultaneously.
