Job Description

Garden City Tree & Landscape Ltd. is looking for an organized and detail-oriented Project Coordinator to support our Landscape Construction team.

You will work closely with our Project Manager and Foremen to keep projects organized, schedules updated, documentation complete, and information moving efficiently between the office and field.

This is a hands-on coordination role for someone who enjoys organization, technology, problem solving, and working with a variety of people.

Responsibilities

• Maintain project files, documentation, drawings, photos, purchase orders, and other project records
• Assist with project scheduling and updates in LMN
• Review timesheets, labour hours, and cost codes for accuracy
• Track daily project and safety documentation and follow up on missing information
• Organize receipts, expenses, supplier invoices, purchase orders, materials, and deliveries
• Support project invoicing and change order documentation
• Assist with project meetings, action items, and follow up
• Support project kick-off and closeout documentation
• Work with Project Managers, Foremen, Finance, Estimating, suppliers, and field teams to keep projects organized and moving forward

Qualifications

• 1+ year of experience in administration, project coordination, construction administration, or a similar role
• Strong Microsoft 365 skills, particularly Excel, Outlook, Word, Teams, and SharePoint
• Strong Excel skills, including formulas, sorting, filtering, tables, and data organization
• Experience with scheduling, project management, or digital administrative systems
• Excellent organization, time management, and attention to detail
• Strong written and verbal communication skills in English
• Ability to manage multiple priorities and follow up on outstanding information
• Comfortable learning and adopting new technology and software
• Able to work independently while knowing when to escalate an issue

Assets

• Experience in construction, landscaping, contracting, or another project-based environment
• Experience with LMN or similar project management software
• Familiarity with construction terminology, timesheets, cost codes, purchase orders, invoices, and project documentation
• Post-secondary education in business, administration, construction administration, or a related field

Compensation

• $27–$30 per hour, depending on skills and experience.

Schedule

Regular: Monday to Friday, 7:15 AM – 3:45 PM

Seasonal Hours (May–September): Monday to Thursday, 6:45 AM – 5:15 PM

Work Location

Based on Garden City Headquarters - 4370 Interurban rd. 

Occasionally can travel to site in the Greater Victoria Area
