POSITION TITLE: Women’s Shelter Team Lead

Purpose Of Position
The Shelter Team Lead is responsible for overseeing the day-to-day operations of the Women’s Shelter, providing leadership and support to the shelter team, and ensuring the safety and well-being of shelter residents. Reporting directly to the Shelter Manager, the Team Lead plays a critical role in managing shelter operations, offering case management and emotional support to residents, and ensuring that services are trauma-informed and culturally sensitive. The Shelter Team Lead will supervise staff, ensure proper service delivery, and contribute to the shelter’s overall success in meeting the needs of women in crisis.
Duties And Responsibilities
Shelter Operations Management
- Ensure the smooth daily operation of the shelter by supervising shelter staff and overseeing the intake process for new residents.
- Ensure that all shelter procedures, from intake to discharge, are followed consistently and efficiently.
- Act as the first point of contact for staff and residents in crisis situations. Lead the response to emergencies, ensure the safety of residents and staff, and provide immediate support during critical incidents.
- Monitor the shelter's physical environment, ensuring it is well-maintained, clean, and organized.
- Report maintenance or safety issues to the Shelter Manager for resolution.
Staff Supervision And Leadership
- Directly supervise the shelter staff, including Shelter Workers, Case Managers, and volunteers. Ensure clear communication, task delegation, and assist in appropriate staff coverage during all shifts.
- Provide regular coaching, mentoring, and performance feedback to shelter staff. Help identify strengths and areas for improvement and support the professional development of team members.
- Lead daily/weekly team meetings to discuss shelter operations, address challenges, share updates, and ensure alignment with goals. Foster an environment of collaboration and respect among staff and residents.
- Assist in identifying training needs and opportunities for staff. Ensure that all team members receive necessary training, including trauma-informed care, conflict resolution, and safety procedures.
Resident Care And Advocacy
- Ensure residents’ needs are met by coordinating case management, providing emotional support, and connecting residents to resources, including healthcare, legal assistance, and housing options.
- Provide immediate assistance and support to residents in crisis, facilitating access to necessary services and guiding them through challenging situations. Ensure that all interactions with residents maintain their dignity, safety, and empowerment.
- Ensure residents are referred to appropriate external resources and support services, such as counselling, legal aid, employment training, and healthcare. Maintain a network of reliable service providers to support the needs of shelter residents.
- Assist in the implementation of programs that support residents in developing life skills, building resilience, and working towards independence. This could include workshops on budgeting, parenting, job search skills, or self-care.
Program Development And Implementation
- Assist in the development and delivery of various programs and services aimed at improving the well-being of residents. This could include counselling services, skills-building workshops, support groups, and educational sessions.
- Ensure that all shelter services are culturally sensitive and align with the values of the Tk’emlúps te Secwépemc.
- Work to create an inclusive environment where residents feel safe, heard, and respected.
- Regularly assess the effectiveness of shelter programs and services. Gather feedback from residents and staff to adjust, improve service delivery, and meet evolving needs.
Administrative Oversight And Record Keeping
- Ensure accurate, up-to-date documentation of all resident interactions, case notes, and shelter activities. Maintain confidentiality and comply with privacy regulations regarding client information.
- Monitor key performance indicators (KPIs) and ensure that all necessary data, including occupancy rates, service usage, and resident outcomes, are accurately recorded and reported.
- Support the manager in ensuring shelter operations comply with relevant laws, regulations, and organizational policies, including those related to health and safety, privacy, and financial accountability.
- Assist the manager with compliance with relevant regulations, policies, and procedures governing shelter operations and client confidentiality.
Financial Responsibility Support
- Support the Shelter Manager in ensuring that shelter resources, including supplies and materials, are properly allocated. Assist with the monitoring of shelter expenditures to ensure efficient use of resources and adherence to budget.
- Oversee the management of shelter supplies, including inventory control and procurement of materials to ensure that residents’ needs are met without unnecessary waste.
Community Engagement And Outreach
- In collaboration with the Shelter Manager, build and maintain strong relationships with local service providers, community organizations, and businesses to expand the network of support available to shelter residents.
- Work with the Shelter Manager and other community partners to increase awareness of shelter services and ensure that vulnerable populations are aware of available support.
- Participate in community events, networks, and meetings to represent the shelter and promote collaboration between different community services and organizations.
Safety And Security
- Ensure that safety and security protocols are followed at all times within the shelter. This includes monitoring access control, managing resident behaviour, and overseeing any necessary interventions.
- Lead emergency preparedness activities, including regular drills, and ensure that the team is well-versed in the shelter’s emergency procedures.
- Identify potential risks within the shelter environment and take proactive steps to mitigate these risks.
- Support the manager in ensuring staff are properly trained in handling crisis situations, managing conflict, and maintaining safety of all personnel.
Reporting And Communication
- Keep the Shelter Manager informed of any significant incidents, operational challenges, or concerns. Regularly update them on the status of shelter activities and the needs of residents and staff.
- Provide feedback to the Shelter Manager on the performance of the team, the status of shelter operations, and areas for improvement.
Assist in the shelter's kitchen operations,
- including meal preparation, cooking, and ensuring food safety standards are met.
- Support pantry management, including organizing supplies, handling groceries, and maintaining inventory for daily meal services.
Financial Responsibility
- Assist the Shelter Manager with monitoring shelter expenses, ensuring proper resource allocation, and reporting on the budget.
- Ensure that the shelter has the necessary supplies and equipment to meet the needs of residents, monitoring procurement and expenditure.
Supervision Or Training Duties
- Provide leadership and day-to-day supervision to shelter staff, including assisting with scheduling, providing feedback, and identifying opportunities for professional development.
- Offer guidance to staff in areas of trauma-informed care, conflict resolution, and client support.
- Support the Shelter Manager in conducting performance evaluations and addressing any performance issues that arise within the shelter team.
Special Requirements
- Must be able to pass a criminal record check (vulnerable sector).
- Must have a class 5 driver’s license and reliable transportation.
- Must be available to work flexible hours, including evenings and weekends, when necessary.
- Ability to work in a team-based, multi-disciplinary environment, collaborating with various internal and external stakeholders.
Professional Certification, Education And Experience
- Bachelor’s degree in Social Work, Human Services, Psychology, Public Administration or related field.
- Minimum of three (3) years recent experience, including one (1) year of supervisory experience.
- Must have experience working with Indigenous communities.
- Knowledge of Family Law and principles.
- FoodSafe Certification or willingness to complete FoodSafe Certification

HOURS OF WORK: Normal Day shifts - 7 hours. Non-normal shifts may be required.
PAY GRADE: Starting at $30.53 - 35.32 per hour depending on education and experience.
