Are you ready to take on a crucial role in maintaining the accuracy and integrity of administrative operations at Seneca Polytechnic?

As the Administrative Assistant within the Office of the Registrar (RO), reporting to the Registrar, you'll be responsible for providing confidential administrative support and assisting with special projects as assigned. You'll act as a liaison for the office with internal and external sources, maintain electronic information tracking, conduct research, and assist with preparing meeting agendas, minutes, presentations, and general correspondence.

Here's What's on Your Horizon

  • Offer administrative assistance to the Registrar and Deputy Registrar, supporting with meeting preparation, special projects, and follow-up actions for the Registrar/Deputy Registrar.
  • Manage expenses, invoices, and travel arrangements for smooth logistics.
  • Oversee department operations, upholding high customer service standards and handling confidential information discreetly.
  • Liaise with administrators, faculty, staff, and the public on behalf of the Registrar and RO, for information exchange and to assist with issue resolution.
  • Assist with inbound and outbound communications via email, phone, and mail.
  • Coordinate meetings, conferences, and events with seamless logistics.
  • Prepare documents, meeting minutes, reports, presentations, and maintain accurate records.
  • Conduct research, develops background materials, and provides summaries for emerging issues.
  • Implement efficient administrative operations for the RO.
  • Collaborate with academic and service areas to advocate for department initiatives.

Step into this position with a minimum of 1 year of experience providing administrative support to senior leadership within the post-secondary sector.Demonstrate your expertise in delivering comprehensive administrative support at executive and departmental levels, highlighting skills in managing meetings, processing financials, facilitating communication, coordinating events, maintaining meticulous documentation, overseeing processes, and fostering collaboration across diverse academic and service sectors. Additionally, ensure you possess a Diploma or Degree in Office/Executive/Business Administration or a related field, or demonstrate equivalent training and experience.
