Job Description

Key Responsibilities

Accounts Payable & Vendor Management

• Coordinate with the Shared Services Centre (SSC) and business stakeholders to ensure vendor invoices are submitted, approved, and processed in a timely manner.
• Monitor invoice status and follow up on outstanding approvals, discrepancies, and vendor inquiries.
• Maintain accurate vendor records and support the resolution of invoice-related issues.

Purchase Order Administration

• Create, update, and maintain purchase orders in accordance with company policies and approval requirements.
• Ensure purchase order information is accurate and aligned with business requests and supporting documentation.
• Track open purchase orders and assist with resolving PO-related discrepancies.

Expense & Travel Management

• Review and process employee expense reports and corporate credit card submissions for completeness and policy compliance.
• Administer employee travel profiles and assist with travel-related expense inquiries.
• Follow up with employees and managers to obtain required documentation and approvals for expense claims.

General Accounting Support

• Perform data entry and maintain accurate financial records within accounting and ERP systems.
• Assist with account reconciliations, journal entries, and month-end close activities.
• Prepare routine reports and provide administrative support to the Finance team.

Compliance & Record Management

• Maintain organized financial documentation and records in accordance with company policies.
• Support internal and external audit requests by gathering and providing required documentation.

Qualifications

• Diploma or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• 0-2 years of accounting, bookkeeping, accounts payable, or administrative experience.
• Co-op, internship, or other relevant office experience is considered an asset.
• Strong attention to detail and accuracy with a high degree of data-entry proficiency.
• Proficiency in Microsoft Excel and other Microsoft Office applications.
• Strong organizational and time-management skills with the ability to manage multiple priorities.
• Effective communication and interpersonal skills with the ability to collaborate across departments.
• Ability to learn new systems, processes, and technologies quickly.
• Experience with ERP systems (e.g., SAP, Oracle, NetSuite, Dynamics) is considered an asset.

Additional Information

The base salary range for this full-time role is $55,000 - $70,000 per year.  Ranges are determined by role and level and represent a good faith effort to provide a fair and equitable salary. This range is a reflection of base salary only, not of a total compensation package.
