Site Safety Administrative Assistant

Job Responsibility:

Summary:

The Site Safety Administrative Assistant is responsible for providing administrative support to the Health & Safety department and site project team. Administrative support includes but is not limited to data entry, generating, reviewing, and updating safety records, assisting with the development, and updating of policies and procedures, and scheduling training.

Responsibilities & Duties:

• Schedule safety training for field employees.
• Enter new employee information and training records into company's safety management software program from the project site.
• Maintain and organize records for safety training, certifications, and licenses.
• Ensure all safety documentation is up-to-date and compliant with regulations.
• Assist with the orientation field employees.
• Manage and track safety-related paperwork such as incident reports, and inspection logs.
• Assists with the maintenance and troubleshooting of the company's safety management software program.
• Analyze information in safety management software program for accuracy and generate reports to be used for various meetings.
• Prepare and distribute safety reports, meeting minutes, and correspondence.
• Create and modify documents using Microsoft Office (Excel, Word, PowerPoint).
• Perform general clerical duties including but not limited to data entry, photocopying, faxing, mailing, and filing.
• Serve as a liaison between the HSE Coordinator and the project team, ensuring clear communication of safety policies and procedures.
• Facilitate communication and follow-up on safety inspections, audits, and corrective actions.
• Monitor and track the progress of safety initiatives and corrective actions.
• Assist in the development and implementation of site-specific safety plans and procedures.
• Support the HSE Coordinator in conducting risk assessments and safety audits.

Job Specifications:

• College Diploma or related training in administration or safety.
• 2-5 years administrative experience.
• Construction field experience an asset.
• Excellent organizational skills.
• Excellent oral and written communication skills.
• Proficiency in MS Outlook, Word, and Excel.
• Ability to multitask, prioritize, and meet deadlines.
• Professional attitude and team player.
• Demonstrated ability to work with minimum supervision.
• Eye for detail, accuracy is imperative.
• Ability to work on project construction sites.
• Ability to work various rotation schedules.
• Valid driver's license and reliable transportation.
• Site training as required by client.
• Willing to work long and irregular hours during accordance with project schedules.

Job Types: Full-time, Fixed term contractContract length: 6 months

Schedule:

• Monday to Friday
• Weekends as needed
