Penwick Developments is a privately owned and operated real estate development and property ownership company with roots in Atlantic Canada. The company develops, owns and manages quality residential and commercial properties, taking a long-term approach to investment, construction, property operations and tenant relationships.

Its growing portfolio includes apartment buildings, townhomes and income-producing commercial properties. The business currently oversees approximately 300 residential units and more than 150,000 square feet of commercial space across roughly 40 buildings. Most of the properties are located throughout the Halifax Regional Municipality, with a further concentration in New Glasgow.

As an owner-operator, Penwick remains directly involved in the day-to-day operation and long-term planning of its properties. Decisions are made locally, supporting responsive service, proactive maintenance and a consistent experience for residents and commercial tenants.

Penwick is vertically integrated across ownership, development, construction, renovations, leasing and property operations. With approximately 300 additional residential units planned over the next 18 to 24 months, the company is bringing residential property management in-house and building a scalable operating platform for its next stage of growth.

Your New Role

Reporting to the Controller and working closely with the Owner, the Property Manager will lead day-to-day operations of Penwick’s residential portfolio while supporting its commercial properties.

This is a visible, hands-on role that connects residents, commercial tenants, leasing, accounting, maintenance, renovations, construction, building superintendents, vendors and contractors. You will spend meaningful time at the properties, develop a strong understanding of each building and take ownership of issues through to completion.

The Property Manager will maintain a regular presence across the portfolio and build strong relationships with residents, tenants and internal teams. You will respond to questions, concerns and service requirements in a timely and professional manner while managing lease administration, including applications, credit checks, renewals, rent increases, move-ins and move-outs. You will also monitor arrears and manage collections and tenancy matters with a respectful, firm and fair approach.

A strong understanding of Nova Scotia’s residential tenancy requirements will be important. You will ensure that tenancy notices, records, inspections and required follow-up are completed accurately, consistently and within the appropriate timelines.

A significant part of the position will involve understanding the physical condition of the portfolio. You will conduct or coordinate twice-yearly residential unit inspections, along with pre-move-in, move-in, pre-move-out and move-out inspections. You will assess building and suite deficiencies, consider renovation history and determine whether work is emergency, urgent, routine, preventative or longer-term. From there, you will coordinate the appropriate internal or external resource and ensure the work is completed and documented properly.

The Property Manager will directly lead one maintenance employee and coordinate the priorities and schedules of a two-person renovation and turnover team. You will also work closely with building superintendents, vendors, and contractors to set clear expectations, prioritize work, and ensure outstanding matters are followed through to completion.

The position requires someone who can provide direction, maintain accountability and give capable employees and service partners the autonomy to perform at their best. Penwick’s internal construction team will be available to provide technical expertise and additional project oversight when needed.

The Property Manager will contribute to the annual budgeting process, monitor operating and capital requirements, review costs and invoices, identify opportunities for greater efficiency and provide clear operational reporting. The Property Manager will review larger expenditures and commitments with the Controller or Owner, while having practical authority to make day-to-day operating decisions within established spending levels.

Working in Yardi Breeze Premier, you will maintain accurate tenant ledgers, rent rolls, leasing calendars, inspection records, maintenance notes and portfolio reporting. As residential property management moves in-house, you will also help validate portfolio information and establish practical procedures, checklists, and workflows to support the business as it grows.

As is common in residential property management, the successful candidate must be reachable for occasional after-hours issues and escalations. You will be expected to assess the situation, coordinate the appropriate response and escalate significant matters when required.

The Property Manager will assist with commercial showings, tenant requirements, day-to-day property operations and fit-up coordination. The Owner will continue to lead commercial lease negotiations and drafting.

What Sets You Apart

You bring strong residential property management or property operations experience, ideally five or more years. However, Penwick will place greater importance on the quality and scope of your experience than on a fixed number of years.

You understand residential tenancy legislation and have practical experience with leasing, renewals, rent increases, move-ins, move-outs, resident relations, arrears, collections and tenancy notices. You also have experience conducting building and unit inspections, coordinating maintenance and repairs, overseeing renovations and turnovers, and managing competing priorities across multiple properties.

You are comfortable spending meaningful time at the properties, assessing buildings and units firsthand and determining what needs to happen next. You can provide direction to employees, vendors, and contractors; maintain productive working relationships; and hold people accountable while giving them the autonomy to do their work effectively.

You are organized, financially aware and comfortable working with budgets, operating expenses, invoices, property information and written reports. You communicate concerns early, exercise sound judgment, ask for support when required and follow matters through to completion.

Experience with Yardi Breeze Premier or another property management system is strongly preferred, although initiative and the ability to learn are more important than experience with one specific platform. Experience involving commercial property management, renovations, capital projects, construction coordination, QuickBooks Online, Microsoft 365, SharePoint or Excel would also be considered an asset.

Most importantly, you are a proactive and practical self-starter who takes ownership of your portfolio. You understand how to balance resident service with the operational and financial requirements of the properties, and you are comfortable making practical decisions in a busy owner-operated environment.

Compensation and Benefits

Penwick Developments is offering a base salary of $75,000 to $85,000, with possible flexibility based on the successful candidate’s experience.

The compensation package includes three weeks of vacation and group benefits, which normally begin after the three-month probationary period, with possible flexibility for an earlier start date. The successful candidate will also receive a monthly phone allowance and a company credit card for authorized business expenses.

Additional Information

This is a full-time, primarily in-person position based in the Halifax Regional Municipality. The successful candidate will travel regularly among properties throughout HRM and occasionally to New Glasgow and other portfolio locations. A valid driver’s licence and reliable transportation are required.
