Job Overview:

The onboarding Admin Supports the Onboarding Analysts through the administrative workload of business (corporate) customer applications application intake, document collection and chasing, data entry, file preparation and case tracking so that Analysts can focus on due diligence review and decisioning. This is a processing and coordination role, not a decisioning role. 

Key Responsibilities:

• Log and track incoming business applications in Freshdesk and internal registers, ensuring every case has a complete, correctly named document set

• Chase applicants and intermediaries for outstanding documents (certificates of incorporation, UBO structures, proof of address, source of funds evidence, etc.) against SLA deadlines

• Perform first-pass data entry and formatting of applicant information into onboarding case templates

• Run standard, non-judgemental checks (e.g. confirming a document is legible, in date, and the right type) and flag anomalies to the Analyst rather than resolving them

• Maintain accurate case status in the SLA tracker and escalate cases approaching or breaching SLA

• Prepare files for onboarding committee review collating documents, populating case templates, checking nothing is missing before the case reaches an Analyst or the committee

• Support jurisdictional document research (e.g. confirming what a foreign corporate registry document is meant to look like) under Analyst guidance

• Maintain document filing and version control so case files are audit-ready at any point

• Provide ad hoc administrative support to the wider Fraud & Onboarding team (scheduling, reporting inputs, capacity trackers)

• Strong organisational skills and comfort working against SLA deadlines in a high-volume environment

• High attention to detail this role is a control point; sloppy intake creates rework downstream

• Comfortable with document-heavy admin work and repetitive checking

• Good written English; able to chase third parties professionally and persistently

• Proficient in Excel/Google Sheets; Freshdesk or similar ticketing tool experience a plus

• Prior exposure to onboarding, KYC, or financial services admin is an advantage but not required this is a trainable role

• Reliable, gets on with the queue without needing to be chased
