Responsible for the management of all processes to move students through their academic program, the Office espouses the values of the Rotman culture, provides an inclusive environment for all students, faculty, and visitors and ensures access to resources and support for timely graduation. As the steward of important and highly-confidential information, the Office of the Registrar practices a high level of ethical behaviour and ensures the protection, privacy and security of student records. Under the general direction of the Assistant Director, Academic Services, the Registrarial Administrative Assistant provides administrative support, with a specific focus on support to the exams and registrarial services, to all units of the Office of the Registrar and Academic Services including the Assistant Director, Registrarial Services and the Program Coordinator, Academic Services. Your responsibilities will include:
- Acting as the first point of contact for general enquiries
- Collating and organizing materials
- Coordinating the delivery of exams to exam halls
- Liaising with contacts to obtain deferred exams and related materials
- Handling sensitive and/or confidential information
- Maintaining information on digital platforms
- Verifying the accuracy and completeness of documents
- Keeping well-informed on policies, rules, regulations and guidelines
Essential Qualifications:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three (3) years providing front-line registrarial student services support to a diverse student population in a post-secondary environment
- Experience providing academic program information and working with prospective and graduate students
- Experience working with Student Information Management Systems (such as ROSI), spreadsheets and databases
- Experiencemaintaining, identifying, and resolving anomalies with student records.
- Experience working with exams in a post-secondary setting
- nowledge or experience with WordPressExperience working with Wordpress and updating websites
- Excellent written and verbal communications skills
- Proven interpersonal, student/customer service, and teamwork skills
- Excellent ability to organize and schedule work.

- Ability to work effectively under pressure, at times with competing deadlines.
- Strict attention to detail and high degree of accountability and accuracy when dealing with student data.
