Job summary
This position is responsible for leading and supporting governance activities, including the development, implementation, and ongoing review of governance policies, frameworks, and related processes. The role provides administrative, operational, and governance support to the board, committees, and other governance bodies by coordinating meetings, managing logistics and documentation, preparing and distributing materials, and supporting effective decision-making and governance practices. The position also serves as a key point of coordination among committee members, staff, and other stakeholders to ensure the smooth and efficient operation of governance activities.

How you will make a difference

• Provide administrative and coordination support to governance activities, the OMA board or its committees, working groups, and other governance bodies, ensuring effective planning, administration, and execution of meetings and governance processes.
• Develop agendas, annual plans, meeting materials, minutes, resolutions, and action item tracking, while overseeing document management, meeting platforms, and governance records.
• Support the development, implementation, review, and continuous improvement of governance policies, frameworks, standards, and practices that strengthen organizational governance and accountability.
• Provide governance advice and guidance on the interpretation and application of bylaws, governance policies, procedures, and governance best practices.
• Identify emerging governance trends, risks, and opportunities, and contribute recommendations and initiatives that strengthen governance effectiveness and support organizational priorities.
• Support governance evaluations, assessments, and continuous improvement initiatives, including the development of tools, performance measures, and governance resources.
• Serve as a key liaison between governance leaders, committee members, staff, and external stakeholders, fostering collaboration and ensuring the timely flow of information and decision-making.
• Support governance-related onboarding, orientation, education, and engagement activities for board and committee members, and contribute to special projects and organizational initiatives as required.

Requirements that are important to us

• Undergraduate degree in Public Policy, Political Science, Law, Business Administration or equivalent
• 5+ years of experience in a governance, policy, advisory, analyst, or related role, with experience supporting governance initiatives, policy development, and organizational decision-making.
• Project management experience, including the ability to lead cross-functional teams, manage competing priorities, and deliver results in a fast-paced environment.
• Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and other technology tools, with the ability to quickly learn new systems and platforms.
• Strong analytical, organizational, and problem-solving skills, with the ability to exercise sound judgment, navigate ambiguity, identify risks, and proactively develop effective solutions.
• Exceptional written, verbal, and interpersonal communication skills.
• Demonstrated ability to work independently and collaboratively, showing professionalism, and attention to detail.

The OMA has moved to a permanent hybrid work environment. As such, the individual in this position will be required to work a minimum number of days in our Toronto office.
