Position Summary
We are seeking a highly professional and proactive Executive Assistant to provide high-level administrative and strategic support to two senior executives within a dynamic, fast-paced environment. The ideal candidate is an excellent communicator, thrives in managing complex schedules and projects, and brings a calm, diplomatic approach to managing shifting priorities and sensitive matters. This role requires a high degree of discretion, judgment, and adaptability, as well as the ability to anticipate needs and operate with the utmost confidentiality.
Key Responsibilities
- Manage complex and frequently changing calendars, including scheduling internal/external meetings across multiple time zones.
- Prepare briefing materials, agendas, reports, and high-level correspondence on behalf of the executive.
- Act as a liaison between the executive and internal/external stakeholders with professionalism and discretion.
- Coordinate and manage special projects, ensuring timelines and deliverables are met.
- Support the executive through organizational change by managing communications, tracking progress, and ensuring alignment with strategic goals.
- Handle confidential information with a high level of integrity and discretion.
- Arrange domestic and international travel, prepare detailed itineraries, and manage expense reporting.
- Monitor action items, meeting follow-ups, and deadlines to ensure accountability and execution.
- Build and maintain strong working relationships across departments and external partners.
- Assist with team operations and internal communications to support a collaborative and efficient work environment.
Key Qualifications
- 5+ years of experience supporting senior executives in a fast-paced, professional setting.
- Exceptional written and verbal communication skills; able to draft polished correspondence and speak on behalf of the executive when needed.
- Proven project management skills with the ability to juggle multiple initiatives and adapt to shifting priorities.
- Experience supporting change management initiatives or navigating organizational transformation.
- Highly organized with exceptional attention to detail and a proactive, solutions-focused mindset.
- Tech-savvy and proficient in Microsoft Office Suite, calendar and project management tools.
- Exercises sound judgment, diplomacy, and confidentiality at all times.
- Strong emotional intelligence and interpersonal skills; able to build trust and influence across all levels of an organization.
