Operations Team Administrative Assistant

Job Responsibility:

Overview:

We are seeking a detail-oriented Administrative Assistant to join our Operations Team. The ideal candidate will provide support to ensure efficient operation of the office. This is a vital role that requires a high level of professionalism and organizational skills.

Responsibilities:

• Manage and organize office files both physically and electronically.
• Assist in preparing and proofreading documents
• Provide administrative support such as answering phones, scheduling appointments, and maintaining office supplies
• Utilize software applications like Microsoft Suite; Jonas Software and Bid2Win.
• Perform data entry tasks accurately and efficiently.

Tasks:

• Transcribe paperwork from field to digital format.
• Follow up calls and email with contract administrators for collections.
• Maintain digital file library.
• Serve as a partner to the operations team to assist in daily functions.

Qualifications:

• Proven experience in an administrative role
• Proficient in Microsoft Office Suite (Word, Excel, Outlook)
• Strong organizational skills with keen attention to detail
• Excellent phone etiquette and communication skills
• Proficient with basic office tasks such as typing and data entry
• Knowledge of Jonas and Bid2win is preferred.
