Showroom Receptionist

Job Summary The Receptionist serves as the face of the company and the first point of contact for our customers. This role is responsible for managing and directing incoming calls to the appropriate department or salesperson, welcoming and guiding visitors to the correct location for meetings or deliveries, and coordinating office activities to ensure smooth and efficient daily operations. Receive/direct/assist incoming calls for Hoskin Group and backup phone coverage as necessary.
Order/maintain stock of ink cartridges for office printers and stationery supplies as required.
Order and store janitorial / washroom supplies as required.
Order coffee and kitchen-related supplies as required.
Communicate with the operations, landlord, and janitors regarding any issues regarding the building.
Assist the Accounts receivable department with cheques for deposit and collections when asked.
Assist Accounts Payable with vendor statements, scanning and saving vendor invoices, processing expense reports, and mailing cheques.
Maintain and coordinate storage for these files regularly.
Add new staff to the system for parking lot access and assign fob for building entry. (Ensure Boardrooms are clean and tidy for meetings and that clean coffee mugs are available.
Decorate lobby for Christmas season; put up and take down tree.
Organize/assist with office social events, catering requirements, and large meeting requests.
Bilingual (English/French).
Proven experience in a customer service role, preferably in a scientific distribution business.
Excellent written and verbal communication skills to interact with customers, vendors, and employees.
Familiar with Microsoft Office applications.
Familiarity with office equipment such as computers, printers, and telephones.
A positive attitude committed to providing excellent service to all customers, employees, and visitors.
Minimum of 3-5 years of experience in an office environment.
Previous experience in customer service/receptionist role ideal.
