Fulltime Administrative Assistant

As an Administrative Assistant , you’ll be a key partner to regional leadership—keeping operations running smoothly through proactive coordination, clear communication, and strong administrative support. Support the Operations Manager and Leadership Team with calendars, travel, expenses, vacation schedules, and safety training tracking
Coordinate internal and external meetings (invites, agendas, materials, minutes, logistics, and follow-ups)
Office & Facilities Management
Manage telephone reception for the regional office
Serve as the main point of contact for office operations, mail, supplies, service contractors, and building maintenance
Coordinate with workplace services and building teams to resolve service requests
Maintain distribution lists, phone directories, and SharePoint/Teams sites
Consolidate and distribute operational materials and reminders
Budget & Expense Administration
Assist with SAP entries, centralized tracking, and expense submissions
Support invoice processing and administrative financial tasks
Technical & Systems Support
Provide Power BI reporting support as needed
Assist with office equipment troubleshooting and server-related issues
Act as a Workday Learning Administrator (manage offerings, reports, and completions)
Support onboarding and learning administration activities
Community Investment & Stakeholder Support
Coordinate community investment initiatives and submissions
3+ years of experience in an administrative or executive support role
- ️ Strong ability to learn and navigate systems such as SAP, Workday, SharePoint, Power BI, and MS Office
- ️ Ability to travel approximately once per month within Northern Ontario (no personal vehicle required)
Regular business hours - Monday - Friday (Full-Time Employment)- Onsite located in Thunderbay, ON
