Administrative Assistant

Encompassing an unparalleled geographic region in the heart of British Columbia, the Thompson-Nicola Regional District (TNRD) offers the best of both worlds. Headquartered in the heart of downtown Kamloops, the TNRD provides a wide range of local government services to the population of 144,000 living within its 11 diverse municipalities and 10 electoral areas.
The Role:
Reporting to the Development Services Administrative Supervisor, the Administrative Assistant provides expert administrative support for the services provided by the Planning Services Department to TNRD residents. To learn more about the TNRD Planning Services Department, visit:
Activities can include correspondence, compiling supporting information, tracking, procurement and contract support, responding to public queries, reception backup coverage, general administrative and other related duties. This position also provides routine information to applicants, the public, elected officials, and other levels of government regarding current projects, applications, bylaws and related matters.
Primary duties include:
Administrative support for Planning Services, including clerical duties such as filing, photocopying, data entry, and file retrieval
Processing of applications with local government customized software programs, including preparation of public/legal notices, mail outs, cash receipting, and updating and maintaining electronic records
Processing and coordinating agendas and meetings of various advisory commissions and committees
Recording minutes of meetings
Administrative support for the Board of Variance
Responding to and preparation of information/file requests
Coverage as required for the main receptionist, support and coverage of the Building Services, and support of Bylaw Enforcement
Other duties as assigned
This position is based out of the TNRD Civic Building which is located in the heart of downtown sunny Kamloops. The vibrant TNRD Civic Building also houses the Kamloops Downtown Library, the Kamloops Art Gallery and a busy café.
Required Education and Experience:
Certificate in business administration and a minimum of two years’ recent, related experience.
An equivalent combination of education and experience may be considered.
Local government experience, in particular supporting planning, development, or building will be given preference.
Required Skills and Abilities:
Excellent communication and customer service skills are required, with the ability to respond with tact and courtesy
Excellent writing skills are required, with demonstrated ability to draft correspondence
Strong attention to detail is required
Ability to work under limited supervision and manage multiple overlapping priorities or deadlines is essential
Ability to effectively contribute to a highly effective team working in a very busy, dynamic environment
Familiarity with online government portal systems
Exceptional technical skills in MS Office, such as:

Advanced knowledge of Outlook, including calendar management, sharing contacts, creating groups, etc.
Advanced knowledge of Word, including mail merges, indexes, table of contents, utilizing styles, tracking changes, etc.
Intermediate knowledge of Excel, including linking workbooks, creating formulas, worksheet/workbook protection, etc.
Basic knowledge of Powerpoint, including creating presentations, animations, slide transitions, creating charts and diagrams, etc.
Basic knowledge of Access or other databases including entering data and running reports

This position requires a Criminal Record Check and the completion of a driver’s abstract.
This position falls under the provisions of the Collective Agreement with the Canadian Union of Public Employees, Local 900. The placement of the Administrative Assistant is at Pay Grade 2, which is $2,086.11 to $2,404.55 biweekly (2025 rates).
