Job Responsibility:
Job Summary
Under the guidance of the Director of Catering and Events, the Catering Coordinator will be responsible for booking and managing internal events, day of event document preparation, post-event administration, and other duties as assigned to support the Catering and Banquets teams.
Role and Responsibilities
Work closely with the Banquets and Events Administrator to ensure an efficient work-flow to support all meetings and events at Hotel X Toronto.
Manage and execute internal meeting and events including: creation of menus, estimates, BEO distribution and Supervision on day of.
Create signage for events daily including wayfinding and food stations.
Attend weekly BEO meetings.
Ensure the Banquet Supervisor display board is updated weekly with tasks and pass-on notes.
Pull banquet checks for all events hosted the day previous and post amounts into Silverware.
Have complete knowledge of hotel services and accommodations.
Ensure prompt and courteous service is extended to both internal and external clients.
Maintain and order office supplies to ensure that the Office is adequately equipped with necessary items to meet customer needs and its day-to-day operation.
Participate in hotel and sales training programs assigned.
Performs general office tasks such as filing, distributing mail, responding to email, and photocopying.
Maintains records by entering required sales, reservation, and account data into systems. Runs and prepares all necessary reports as required.
Maintains good data hygiene within all systems and folders.
Qualifications
Minimum of 2 years sales experience in a Luxury Hotel, or catering company. Ability to communicate effectively with all levels of guests, employees and management. Exceptional attention to detail and ability to manage competing priorities with a calm demeanour. Energetic and outgoing, with a positive attitude, driven to provide outstanding guest service. A working knowledge of Delphi and Silverware is an asset. Ability to travel and work flexible hours and days.
