Customer Communications & Front Desk Coordinator

We’re looking for a friendly, organized, and proactive Customer Communications & Front Desk Coordinator to be the welcoming face of It’s Time Promotions and help keep our customer experience running smoothly.

In this role, you’ll be the first point of contact for customers, handling walk-ins, phone calls, emails, order pickups, quote follow-ups, and customer inquiries . You’ll also help coordinate communication between customers and our sales and production teams, ensuring questions are answered and orders keep moving forward.

What you’ll do:

• Welcome and assist walk-in customers and customers picking up orders
• Answer phones, emails, and general customer inquiries
• Follow up with customers on quotes and outstanding questions
• Keep customers informed about order status and delayed pickups
• Delegate inquiries and tasks to the appropriate team members
• Maintain accurate customer and order information in our systems
• Upload supplier confirmations, tracking information, order details, and completed product photos
• Handle referral card distribution and other customer outreach
• Help keep the front office organized, clean, and professional
• Support the sales and customer service team with day-to-day administrative tasks
• Participate in training, coaching, and company goal-setting

Qualifications:

• High school diploma or equivalent; further education in communications or business administration is an asset.
• Previous experience in a customer service or front desk role is preferred but not essential.
• Strong verbal and written communication skills.
• Strong computer skills with experience in Google Workspace (Gmail, Google Drive, Docs etc)
• Ability to multitask and manage time effectively in a fast-paced environment.
• Excellent interpersonal skills and a positive attitude.
• Attention to detail and a commitment to providing high-quality service.
