About the Role

We are seeking a highly organized and detail-oriented Securities & Corporate Paralegal to provide ongoing support to a corporate governance and securities consulting practice serving Canadian public companies. You will be working directly with the principle consultant at a firm dedicated to securities and corporate governance.

This is a hands-on role for someone who understands that in securities and corporate work, accuracy, deadlines, formatting, and exceptional file maintenance matter .

And we mean exceptional file maintenance.

This role is particularly well suited to someone who considers a clean, logical, beautifully organized filing system to be their jam . If you take an immense amount of pride in opening a complicated client file, figuring out what belongs where, triaging what needs attention, and leaving behind a system that is easier for everyone else to navigate — you will probably enjoy this work.

We aren't simply looking for someone who can complete a task. We want someone who creates organization as they work .

The position is approximately 25 hours per week and fully remote , with consistent weekday availability required from 9:00 a.m. to 12:00 p.m. Pacific Time, Monday through Friday . Remaining hours offer some scheduling flexibility.

This role may be particularly well suited to an experienced paralegal seeking reduced or flexible hours, a semi-retired securities or corporate professional, or a strong recent graduate looking to develop specialized experience in Canadian securities and public-company work.

Key Responsibilities

The successful candidate will assist with:

• SEDAR+ and SEDI filings , including preparation, submission and maintenance of filing records
• Preparation and formatting of corporate, securities and governance documents
• Document review, proofreading and quality control
• Preparing documents for signature and managing signature packages through DocuSign
• PDF creation, editing, combining, redacting, organizing and manipulation using Adobe Acrobat
• Maintaining exceptionally organized electronic client files in Microsoft OneDrive / Microsoft 365
• Triaging existing files and documentation to identify missing, misplaced or outstanding items
• Creating and maintaining logical folder structures, naming conventions and filing processes
• Ensuring completed work is properly documented and filed as part of the workflow — not left for someone else to clean up later
• Data entry and maintenance of corporate and securities information
• Preparing and updating standard corporate documents, resolutions, forms, correspondence and reporting materials
• Assisting with billing administration
• Preparing and reconciling expense reports using QuickBooks
• Tracking outstanding documents, signatures, filings and administrative requirements
• Supporting deadline-driven client and regulatory work
• General paralegal and administrative support as required

What We're Looking For

Required

• Education, training or professional experience as a paralegal, legal assistant or similar legal professional
• Familiarity with Canadian securities law and public-company regulatory requirements
• Understanding of SEDAR+ and SEDI , with direct filing experience strongly preferred
• Strong Microsoft Office skills, particularly Word, Outlook and OneDrive
• Experience working with Adobe Acrobat/PDF documents
• Excellent document formatting and proofreading skills
• Exceptional attention to detail
• Genuinely excellent organizational and file-management habits
• Ability to look at a disorganized collection of information and determine how it should be structured
• Ability to manage multiple deadlines and competing priorities
• Ability to work independently and proactively in a fully remote environment
• Consistent availability Monday through Friday from 9:00 a.m.–12:00 p.m. Pacific Time

Strong Assets

• Previous experience supporting TSX, TSX Venture Exchange or CSE-listed companies
• Experience with corporate governance, continuous disclosure or corporate secretarial work
• Hands-on experience completing SEDAR+ and SEDI filings
• Experience with DocuSign
• Experience with QuickBooks
• Communication - You can communicate in a clear, concise and direct manner
• Experience maintaining corporate records, minute books or public-company documentation
