Job Function:

Perform data processing services including inputting, updating, etc, to various computerized databases, such as PEP, CSS, Excel, Word, PowerPoint, etc. Perform clerical and typing services for the functional department and projects.

Job Description:

1. Perform data processing assignments for units within the Department, such as input, output, maintain and update data on several different computer programs, such as PEP, CSS, Excel, Word, PowerPoint, etc. 
2. Maintain records and files, such as maps, drawings, catalogues, manuals, engineering specifications, procurement card statements, correspondence and allowances. File, retrieve and distribute above documents.
3. Process and input time sheets for designated personnel, checking detail as to proper format and coding to ensure all time sheets ar e received. May also include the preparation of time sheets for senior staff, EPSCA, CUSW and Hiring Hall staff. Retrieve and distribute appropriate reports to applicable Supervisors.
4. Perform various clerical services including the processing of miscellaneous invoices forwarded to the group and daily backup of the server tape. Assemble and summarize various data for report distribution to group and various clients. Receive and distribute mail and faxes. Maintain stationery stock, answer telephones and customer traffic, as needed. Check and forward drop box payments to appropriate department. Photocopy, prepare and maintain reference binders, update manuals and post various communications to staff, etc.
5. Perform typing assignments for Supervisor or other designated personnel, receive drafts, tapes or notes to produce typewritten material for Supervisory review and in accordance with instruction or established formats. Utilize word processing software for producing documents requiring constant updates or revisions.
6. Arrange meetings for design staff. Book conference rooms, order coffee, lunch and confirm attendance of participants.
7. Provide day-to-day maintenance of office equipment, such as filling copiers with paper, changing ink, etc.Arrange for service visits, when required.
8. Perform other duties as required.

Selection Criteria:

Education:

• Requires proficiency in the operation of computer equipment to produce such data as correspondence, reports and miscellaneous copy work.
• Requires an elementary knowledge of drawings and technical documents to be capable of coding relative data and correcting input and output information.
• Requires a knowledge of English to follow written or verbal instructions and to communicate with others.
• Requires a working knowledge of mathematics to verify various reports and documents.This knowledge is considered to be normally acquired either through the successful completion of Grade XI in a Secondary, Commercial or Technical School or by having the equivalent level of education.

Experience :

• Requires office experience that may be obtained in an external office or within the Corporation to be familiar with terms and related office procedures, such as filing, answering telephones and arranging meetings.
• Requires a working knowledge of computers and to understand input and output procedures for various computer programs designed and used by the department and clients.
• Requires experience to understand procedures and practices within the department and a knowledge of those of other departments. Requires knowledge of alphanumeric keyboards in order to operate a computer terminal. A period of up to two years is considered necessary to gain this experience.
