Alberta Infrastructure designs, builds, manages, and maintains government-owned and operated facilities, and collaborates with other ministries to ensure that schools, hospitals, and government facilities infrastructure meet the needs of Alberta's population. The Ministry also provides accommodation services and manages a large portfolio of owned and leased facilities while maintaining fiscal accountability and optimizing value for Albertans.

Role Responsibilities

The Area Assistant provides direct administrative support to the Director of Project Delivery, and indirect support to all staff within the area. The core duties of this position include financial reporting and tracking (operating budget), coordination and review of reporting and other correspondence documents (Action Requests, Briefing Notes, various reports), human resources (staffing, forms, organizational support, etc), support to others within the team and Branch, and various other administrative tasks.

The primary responsibilities for the Area Assistant include but are not limited to:

• Administering fiscal budget plans for the Director's office operational forecast. Preparing and adjusting the plan, generating forecasts and variance reports, identifying, and providing rationale for surpluses/deficits on a monthly basis. Analyzing financial reports, confirming accuracy of expenditure transactions, adjusting discrepancies and reconciling expenditures to payment records
• Preparing fiscal year budget estimates, based on budget allocation, and previous years expenditures, etc.
• Responding to requests/inquiries from various levels of government departments or the public and preparing information for further action
• Preparing agendas for monthly team meetings, take minutes at meetings, participate as required, and follow-up on any action items
• Acting as an area resource regarding the Master and Subsidiary Agreements, personnel authorities matrix and departmental policies such as banked overtime and vacation accruals
• Assisting with staffing changes and recruiting by preparing and updating s and staffing requests, submitting necessary documentation, and following up as required

Qualifications

Required:

• High school diploma and three years related experience
• Business related courses

Equivalency: Directly related education or experience considered on the basis of:

• 1 year of education for 1 year of experience; or
• 1 year of experience for 1 year of education

Assets: Comprehensive knowledge of:

• Highly effective and efficient with Microsoft Office suite, specifically Excel, Outlook, Word
