The Fleet Coordinator manages the day-to-day administration, maintenance, and compliance of the companys light- and heavy-duty vehicles, trailers, and mobile equipment. This role keeps every unit safe, road-ready, properly documented, and available to support shop and field operations across all locations.
Key Responsibilities-Schedule and track preventive maintenance, repairs, and provincial safety inspections for all trucks, trailers, and equipment
-Maintain registrations, insurance, permits, and individual unit files for the entire fleet
-Ensure compliance with National Safety Code (NSC) requirements, including driver files, hours of service, and pre-trip inspection records
-Coordinate repairs with internal mechanics and external service providers; review and approve service invoices
-Administer GPS/telematics, fuel cards, and mileage and utilization reporting
-Coordinate vehicle assignments and transfers between branch locations
-Document vehicle incidents and support insurance claims and follow-up
-Monitor fleet operating costs and provide recommendations on unit replacement and lifecycle planning Qualifications & Skills
-2+ years of experience in fleet coordination, dispatch, transportation, or heavy equipment administration
-Knowledge of NSC compliance, hours-of-service rules, and provincial inspection requirements
-Highly organized, with proficiency in fleet management software and Excel
-Mechanical aptitude and familiarity with light- and heavy-duty truck maintenance an asset
-Valid Class 5 drivers license required; Class 1A or 3A an asset
-Strong communication skills for working with drivers, vendors, and insurers
