Program Quality Assurance Specialist

Yorkville University is seeking a highly organized, collaborative, and detail-oriented Program Quality Assurance Specialist to join its Governance, Regulatory and Government Affairs team. Reporting to the Senior Manager, Program Quality Assurance, this role offers an exciting opportunity to contribute to the continuous enhancement of academic quality across multiple provinces and degree offerings.

The Role



Reporting to the Senior Manager, Program Quality Assurance, the Program Quality Assurance (PQA) Specialist supports the coordination, execution, and continuous improvement of Yorkville University’s quality assurance processes. Working across three provinces and multiple degree offerings, the PQA Specialist contributes to the development of comprehensive and insightful program review materials and assists in the preparation of high-quality reports for regulatory bodies. As a key member of the Governance, Regulatory and Government Affairs team, the PQA Specialist collaborates with academic units as well as internal and external stakeholders to uphold consistent quality standards and foster a culture of evidence-based program improvement.



Key Responsibilities

• Support the planning, coordination, and execution of the program review and quality assurance processes across academic programs and regulatory jurisdictions.
• Track timelines, deliverables, and milestones to ensure program reviews are completed on schedule and meet required quality standards.
• Identify and escalate risks or delays related to program quality assurance activities.
• Collaborate with teams across the institution to gather, organize, and validate, and maintain information required for program quality assurance initiatives and program renewals.
• Provide operational and editorial support in the development of program quality assurance materials and regulatory reports, ensuring accuracy, completeness, and alignment with the assessment standards.
• Support academic units in crafting comprehensive program quality assurance materials that accurately reflect the strengths, challenges, and future aspirations of the programs.
• Assist with the analysis of ministerial conditions and commitments, program assessment data, and past program review findings to identify trends, opportunities, and areas for improvement.
• Review and provide constructive feedback on self-study documents to enhance their quality and alignment with institutional goals.
• Prepare summaries, issues logs, risk registries, briefing materials, and tracking documentation for internal stakeholders and leadership.
• Coordinate stakeholder engagement (faculty, students, alumni, industry partners) as part of the program quality assurance process.
• Maintain documentation, templates, and tracking tools related to quality assurance processes.
• Stay informed of regulatory requirements, accreditation standards, and emerging best practices in program quality assurance.
• Participate in committees or working groups as assigned and contribute to process improvement initiatives.

Skills, Experience & Competencies

• Master’s degree in a relevant field.
• Minimum 3-5 years of experience in grant writing, program management, regulatory submissions, compliance, or a related role.
• Experience in higher education administration or quality assurance would be considered an asset.
• Familiarity with program review processes, accreditation standards, or regulatory environments is an asset.
• Exceptional writing, editing, and content creation skills.
• Analytical and data-handling skills, with attention to detail and accuracy.
• Strong organizational and project management skills, with the ability to manage competing priorities effectively.
• Outstanding interpersonal and communication skills, including the ability to engage effectively with a wide range of stakeholders, from senior executives with both academic and corporate backgrounds to academic faculty and external agencies.
• Strong written and verbal communication skills, including the ability to edit and synthesize complex information.
• Excellent communication and collaboration skills, with the ability to build strong relationships with stakeholders and effectively communicate complex concepts.
• Proficiency in Microsoft Office Suite and experience working with data and reporting tools.
• High level of professionalism, discretion, and commitment to excellence.
• Adaptable and resilient, with the ability to thrive under evolving regulatory landscapes with tight timelines.
• Proactive, solutions-focused mindset with strong problem-solving skills.

This position offers a salary range of $72,000 to $82,000 annually, with placement within the range based on experience, education, and internal equity.
