Event Operations Manager

Job Overview:

The Event Operations Manager will be responsible for overseeing the execution, and logistics of catering operations for a wide range of events. This involves preparation, set-up, service and breakdown of events. This role requires a strategic and detail-oriented leader who can manage multiple tasks and events simultaneously, ensuring seamless coordination between the sales staff, kitchen, front-of-house staff, vendors, and clients. The ideal candidate will have extensive experience in event catering, strong leadership skills, and a passion for delivering exceptional customer service.

Key Responsibilities:

Planning and Coordination:

• Collaborate with the sales team to understand all event objectives.
• Participate in weekly team meetings to ensure operations has all necessary information about the events and client requirements, providing solutions for effective setups and service.
• Utilizing the event BEO's, and with assistance from Operations Manager Assistant, manage event-pack ups and break downs post-event.
• Coordinate vehicle/fleet management logistics with the corporate delivery and cafe teams.

Operations Management:

• Ensure all labour requirements and company policies are followed.
• Ensure compliance with health and safety regulations and company policies during event execution.
• Ensure that superior service standards are maintained, focusing on consistently high-quality guest experience and achieving operational excellence.
• Manage and utilize our own in house equipment to maximize rental profit margins.

Team Leadership + Service Teams

• Train, lead and supervise a team of catering staff, including, Event Managers Servers, Bartenders, and Support Staff.
• Schedule staff for events, manage on-site personnel during events as needed, reconcile staffing hours post-event and communicate monthly payroll to finance team.
• Ensure Event Managers deliver event logs in a timely manner, and catalogue all pertinent post-event information using our CRM and catering software.
• Foster a positive work environment, encouraging teamwork, professionalism, and high performance.

Client Relations:

• When onsite, serve as the primary point of contact for clients during events, addressing any issues or concerns promptly and professionally.
• Communicate with clients on-site to gather feedback and ensure satisfaction.
• Build and maintain strong relationships with clients, vendors, venues and other partners to promote repeat business and referrals.

Budget and Financial Management:

• Maximize Railtown's revenue and operational excellence through maintenance of systems and policies.
• Work with the management to develop and manage company budgets, ensuring profitability and cost control.
• Provide accurate and timely financial reports and analysis related to catering operations as required.

Beverages and Alcohol Management

• Oversee beverage program, working closely with the sales team to create custom cocktails or seasonal offerings.
• Manage liquor inventory, conduct monthly inventory checks, work with company reps to find competitive pricing and increase company profit margins.
• Apply for liquor licenses for events as required.
• Ensure employees conform to the regulations of the alcohol beverage authority.

Vendor Management:

• Work with the sales team to secure and revise rental orders accurately and efficiently.
• Work with the rental suppliers to ensure they continue to have the products we require at the proper rates and control the percentage of breakage, damage and missing items.
• Coordinate with vendors for rentals, decor, transportation, and other event needs.
• Manage the logistics of equipment delivery, setup, and pickup, ensuring all elements are in place and functioning as required.
• Assist with picking up and dropping off rentals and decor as needed.

Continuous Improvement:

• Analyze event performance and identify areas for operational improvement.
• Implement best practices and innovative solutions to enhance the efficiency and quality of catering services.
• Seek out opportunities to improve existing internal operational processes and systems where required
• Conduct training sessions and seminars with the staff, create a great front-of-house culture and have a promotion plan from within.
• Stay updated on industry trends, culinary innovations, and emerging technologies in event management.

Qualifications + Preferred Skills:

• Experience with high-end or luxury event catering.
• Certification in food safety and handling.
• Bachelor's degree in Hospitality Management, Event Planning, or a related field (or equivalent experience).
• Minimum of 5 years of experience in event catering operations, with at least 2 years in a managerial role.
• Proven track record of successfully managing large-scale catering events.
• Strong leadership, organizational, and multitasking skills.
• Excellent communication and interpersonal abilities, with a client-focused approach.
• Proficiency in event management software and Microsoft Office Suite, Google Suite
• Ability to work flexible hours, including evenings, weekends, and holidays as required.

Pay: $70,000.00-$80,000.00 per year
