The Opportunity

The Talent Management and Culture Coordinator is responsible for providing reception support, and a variety of administrative and clerical duties to assist the Human Resources and Program Administration team. This position is also responsible for assisting and coordinating in three areas of Human Resources (Recruitment, Training, and Retention). Often the first contact employee or visitor will have with the Centre, It is important that every opportunity be taken to promote the Centre and to represent a positive work environment.

Roles and Responsibilities

General

• Serve as a the reception to the Donald Cameron Centre and administrative support to the Human Resources and Program Administration team as required.
• Administrative duties including ordering office supplies, and sorting mail composing routine correspondence and maintaining the Human Resources filing system, calendar and room bookings.
• Assists other departmental staff in the production of standardised correspondence and assist with work projects and assignments, when required.
• Monitors the Human Resources, Training and Careers inboxes and field all general inquiries at the Banff Centre with the highest standards of customer service and efficiency.

Recruitment

• Responsible for the timely posting and monitoring of vacant positions.
• Basic knowledge of all positions posted in order to provide candidates with sound information on the position opportunities.
• Facilitates the recruitment process on behalf of hiring mangers as assigned; this may include pre-screening, interviewing, reference checking, regretting and offering candidates.
• Tracking, coordination and associated administration of Centre-wide requests for recruitment of casual staff.
• Support to the recruitment area through coordinating interviews including scheduling candidates and hiring committees, making travel arrangements, and administration of the candidate care program.
• Attend job fairs and local off-site recruitment fairs
• Uses the applicant tracking system to maintain all information related to requisitions and candidate records. Provide the administration of the candidate care program for all requisitions as required, as well as perform routine updates to templates and customized fields as required.

Onboarding and off-boarding

• Production, audit and maintenance of all on-boarding documents related to commencing employment including payroll information, employment contracts, and criminal record checks.
• Ensure all employees exiting Banff Centre are sent online exit interview links and maintain statistics of results.
• Provide support for training programs including registration, development of marketing materials, answering general inquires, along with ordering food and beverage and room setups.

Training and Retention

• Coordinate events for staff, including the annual Service Celebration, lunch and learns and holiday parties and other events as identified that support community connection and networking.
• Coordinate approved events, including all logistics for staff, including the annual Service Celebration, staff holiday parties and BBQ’s. Working within a budget the TMCC is responsible planning and delivery of these events. Of primary importance of this role is the marketing and promotion of this events.
• Creation and tracking of Employee Learning Agreements.
• Coordination of travel and accommodation for any visiting faculty.
• Creation of the weekly Human Resources email and update of the Training and Retention SharePoint site.
• Coordinates and facilitate the new employee orientation programs.

Qualifications and Educational Requirements

• 2+ years of office experience is required, preferably working in a human resources environment.
• Diploma/Degree in Human Resources or related area
• Proficient with the Microsoft suite of products (e.g. Word, Excel, Outlook and PowerPoint)
• Applicant Tracking System and/or database experience
• Exceptional customer service skills with the ability to build strong relationships with internal and external clients
• Strong attention to detail
• Ability to multi-task to effectively project manage all active Recruitment Competitions
• Ability to speak and read French is an asset

Employment Terms and Benefits

• This is a salaried support staff position, subject to a 6 month probationary period.
• The annual salary for this position is between $50,466 - $52,981.50 depending on experience, based on working 37.5 hours per week.
