Production Administrative Coordinator This is a term position from September – November 2026Banff Centre for Arts and Creativity aims to inspire everyone who attends our campus – artists, leaders, and thinkers – to unleash their creative potential.We acknowledge, with deep respect and gratitude, our home on the side of Sacred Buffalo Guardian Mountain. In the spirit of respect and truth, we honour and acknowledge the Banff area, known as “Minhrpa” (translated in Stoney Nakoda as “the waterfalls”) and the Treaty 7 territory and oral practices of the Îyârhe Nakoda (Stoney Nakoda) – comprised of the Bearspaw, Chiniki, and Goodstoney Nations – as well as the Tsuut’ina First Nation and the Blackfoot Confederacy comprised of the Siksika, Piikani, Kainai. We acknowledge that this territory is home to the Shuswap Nations, Ktunaxa Nations, and Metis Nation of Alberta, Rockyview District 4. We acknowledge all Nations who live, work, and play, help us steward this land, and honour and celebrate this place.The OpportunityThe Banff Centre Mountain Film and Book Festival is one of the flagship programs of Banff Centre. As one of the world’s pre-eminent mountain festivals – and a co-founder of the International Alliance for Mountain Film — the Festival began 50 years ago in the small Rocky Mountain town of Banff, Alberta. What began as a one-day festival of climbing films has now blossomed into a nine-day event in Banff that explores and celebrates what Mountain Culture means to people around the world. Events include film screenings; readings; guest-speaker presentations; film, book, essay, and photography competitions; filmmaking, writing, and photography workshops; and a mountain marketplace.Banff Centre is looking for a Production Administrative Coordinator to provide administrative support for all aspects of the technical planning and delivery of the Banff Centre Mountain Film and Book Festival (BCMFBF) and its related programming events.Roles and ResponsibilitiesReporting to Festival Manager, below are some key accountabilities:Program Support Communicates on a regular basis with BMF management so as to successfully execute the detailed technical planning of those events and programs. Communicates, as necessary, with the presenters and faculty for each event to determine technical specifications for each program as well as equipment, space and facility needs. Liaises with Festival Manager to establish technical rehearsal schedules, and to ensure faculty are informed and prepared to participate. Assists the Directors with the technical delivery of the program once the faculty arrive on campus by providing orientation sessions, answering technical questions, providing site inspections, following up on space and facility needs, and liaising with appropriate BMF and Program Operations staff on specific requests related to the technical production of each program. Assists the Producer, BMF, with recruitment of technical term staff, including the creation of schedules. Acts as primary contact for these staff during contracted periods. Assists the Producer, BMF, with all relations, logistics and administrative detail relating to the sourcing and acquisition of a multitude of technical equipment and related sponsorships, including their timely delivery and return. Oversees and regularly monitors the timely and accurate updating and maintenance of the centralized Master List film spreadsheet by the Film and Event Specialist. Authoring and duplication of all program content for the film festival and related World Tour is managed via this spreadsheet. Responsible for updating and maintenance of the centralized database and projectionists notes as they relate to event production. Assists as required with the logistics of organizing any emergency equipment acquisition and/or repair. Provides technical program support at festivals’ seminars and special events in all venues, as required. General Administrative Responsibilities Works on a variety of projects within the BMF, as assigned by the Technical Producer, Mountain Culture. This could include administrative or systems work on special projects (such as the Radical Reels on-stage demonstration) or on regular programs. Serves as secondary front line contact for all technical issues, responding to inquiries and providing information as required, in the absence of the Producer. Stays informed through attendance at BMF weekly meetings and programming events as time permits. Undertakes additional related duties and responsibilities as required. Qualifications and Educational Requirements Completion of a university degree in a related discipline with, at minimum, 5 years’ experience Substantial experience in program delivery and project management Strong computer skills including word processing, Outlook, Excel and database experience. Well-developed communication and interpersonal skills, ability to interact professionally with outside individuals and organizations, ability to seek collaborative solutions and to persuade others Strong organizational and time management skills Flexibility and adaptability High level of commitment to delivery of customer service excellence Ability to work effectively under pressure, with shifting priorities Ability to manage multiple projects at once with a high level of attention to detail Ability to work effectively within an approved budget Willingness to work flexible, irregular hours including weekends and holidays when required Adept at problem-solving, decision-making, and negotiating win-win solutions with individuals and or groups. High level of reliability and motivation Previous experience or knowledge of electronic multi-media presentation technology is an asset Special Requirements Due to the nature of the Festival programming, this position requires the candidate to be available to work a flexible, irregular schedule and weekends. Employment Terms and Benefits In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period. This is a term position from September - November 2026. This position is part-time in September and increases to full-time in October and November. This position pays $27.11 to $28.46 per hour working up to 40 hours per week on a rotating schedule.
