Human Resources Assistant

Paterson Grain is seeking a motivated, organized, and detail-oriented Human Resources Assistant to join our team. The successful candidate will support recruitment, onboarding, employee administration, and office operations while helping to create a positive employee experience. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and can effectively manage multiple priorities.
Responsibilities:
- Support full-cycle recruitment activities, including posting job advertisements, attending career fairs, conducting candidate outreach, and building relationships within local communities to attract talent.
- Review and screen resumes, conduct candidate pre-screens, coordinate interviews, and communicate with candidates throughout the hiring process.
- Conduct reference checks, coordinate criminal background checks and drug testing (where applicable), and extend verbal job offers to successful candidates.
- Assist with onboarding activities, including preparing and distributing new hire paperwork, conducting first-day office tours and orientation presentations for head office employees, and entering employee information into company systems.
- Maintain employee files, HR records, and tracking reports while ensuring accuracy, confidentiality, and compliance with company policies.
- Support employee lifecycle activities, including retirement planning coordination and general employee administration.
- Assist with planning and coordinating corporate events, employee recognition initiatives, and other HR programs.
- Respond to employee and applicant inquiries and provide administrative support to the HR team as needed.
- Manage reception and front desk operations, including answering and directing calls, welcoming visitors, accepting deliveries, booking meeting rooms and company vehicles, and maintaining an organized reception area.
- Perform other related duties as assigned.
Qualifications :
- Post-secondary education in Human Resources, Business Administration, or a related field.
- 1–2 years of experience in a Human Resources, recruitment, or administrative role preferred.
- Experience in agriculture, rural recruitment, or recruitment across Western Canada is considered an asset.
- Strong communication and interpersonal skills with the ability to build positive working relationships.
- Comfortable speaking with candidates, employees, and external contacts by phone, in-person, and email.
- Excellent organizational and time-management skills with the ability to manage multiple tasks and competing priorities.
- Ability to work effectively in a fast-paced environment with frequent interruptions.
- Strong attention to detail and a high degree of accuracy.
- Proficient in Microsoft Office, including strong Microsoft Excel skills.
- Ability to maintain confidentiality, professionalism, and discretion at all times.
- Quick learner with the ability to adapt to new systems and processes.
