Position Overview: The Customer Service & Order Management Representative is responsible for delivering exceptional customer support while ensuring the accurate and timely processing of distributor orders. This role serves as a key point of contact for customers and distributors, managing inquiries related to order status, tracking, product availability, returns, and general customer service needs. The representative will also manage inbound communication channels, including phone, email, and chat queues, while providing backup support to the Inside Sales team as required.

Compensation: 25$ p/h – Part Time basis of 25 hours per week (5 hours per day)

Essential Job Functions:

• Process and manage distributor purchase orders accurately and efficiently.
• Coordinate with internal departments to ensure timely order fulfillment and shipment.
• Monitor open orders and proactively address any delays or issues.
• Maintain accurate customer and order records within the company ERP/CRM systems.
• Respond to incoming customer and distributor inquiries via phone, email, and chat.
• Act as a trusted resource for product-related and service-related questions.
• Ensure all customer interactions are handled promptly and professionally.
• Process customer returns, credits, and exchanges in accordance with company policies.
• Maintain detailed records of customer issues and resolutions.
• Provide backup support for the Inside Sales Representative during vacations, absences, or peak periods.

Requirements:

• Dental Experience: Preference will be given to candidates with dental industry experience, such as customer service representatives, sales representatives, dental assistants, or hygienists.
• B2B Experience: Experience working with distributors, supply chain processes, or B2B customers is considered an asset.
• Self-Starter: Must be a self-motivated, organized, and detail-oriented individual.
• Team Player: Demonstrate the ability to work effectively both independently and as part of a team.
• Customer Service Skills: 2+ years of experience in customer service, order management, inside sales support, or a related role.
• Communication: Excellent verbal and written communication skills. Must have excellent English-speaking and writing skills.
• Technical Skills: Familiarity with mobile CRM systems. Proficiency in Microsoft Office. Power BI experience is a benefit.
