The Company's Operations office is in Saskatoon, Canada with a Corporate office in Vancouver, Canada. Role Overview: The individual appointed to this position will report directly to the Manager of Human Resources. The Receptionist will be responsible for providing excellent customer service and creating a positive first impression for visitors and callers. This includes greeting and welcoming visitors, managing the reception area, handling phone calls, and performing various administrative tasks. The role requires strong communication skills, a professional demeanor, and the ability to manage multiple tasks efficiently. We are looking for a highly motivated self-starter with an entrepreneurial spirit who is comfortable working in a growth-oriented environment. Position Responsibilities: - Create a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees.
- Organize and schedule meetings and appointments for members of Senior Management, including ordering catered lunches for meetings upon request.
- Produce and distribute correspondence memos, letters, and faxes for members of Senior Management.
- Carry out administrative duties, such as filing, typing, copying, binding, and scanning.
- Prepare, monitor, and submit invoices related to the Company's Saskatoon office.
- Handle sensitive information in a confidential manner.
- Coordinate all communications with building management, such as parking and key card access.
- Call for building maintenance as required.
- Receive, sort, and distribute the mail.
- Assist in event planning as required.
- Assist with expense reports as required.
- Kitchen upkeep, including emptying dishwasher in the mornings, ensuring the coffee station is well stocked and tidy.
- Receive incoming and coordinate outgoing deliveries.
- Take inventory of office supplies, first aid, groceries, beverages and refreshments and restock when necessary. Specifically, ordering groceries for the office weekly, ensuring kitchen is well stocked.
- Document and update all workstation assignments and contact lists.
- Coordinate headshots and other administrative and special projects, as assigned.
Education and Experience: - High school diploma or equivalent; additional qualifications in Office Administration are a plus.
- Proven experience as a receptionist, front office representative, or similar role.
- Proficient in Microsoft Office Suite and office management software.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to multitask and prioritize tasks effectively.
- Friendly, professional, and reliable with a positive attitude.
