Job Responsibility:
We are excited to expand our team and are looking for a full-time Spa Administrator to join our King Street team! The Spa Administrator plays a key role in ensuring the smooth operation of North Medical Spa by managing administrative tasks, optimizing bookings, continuously maintaining accurate client records, and delivering an exceptional experience for both our clients and staff. The ideal candidate is someone who is skin care obsessed, takes initiative to grow and develop within their role, and has at least 3 years of administrative & customer service experience. They are tech savvy, very detail-oriented, and committed to providing exceptional client care. Core Competencies required for this role: Detail-Oriented: We are looking for someone who pays meticulous attention to detail in managing client profiles, invoices, and appointment schedules to maintain a high standard of service and operational efficiency. Interpersonal Skills: Provides exceptional client service by addressing client inquiries, handling complaints, and ensuring our clients are satisfied. Is able to de-escalate issues and build lasting client relationships. Organizational and Time Management Skills: Can manage multiple responsibilities, including inbox management, appointment scheduling, and marketing support. Prioritizes tasks effectively and ensures responses to clients are timely. Sales and Marketing Acumen: Proactively engages clients to educate on our services and packages. Collaborates with the marketing team to support campaigns and contribute to revenue growth by encouraging repeat business and upselling treatments. Key Responsibilities: - Manage inbox and phone communications, prioritizing client inquiries, and scheduling appointments while promoting North Medical Spa services.
- Maintain accurate client invoicing, correct any discrepancies, and manage cancellations or no-shows.
- Maintain and update client profiles, strategically manage appointment bookings, and optimize scheduling for client treatments.
- Address and resolve client complaints, and follow-up with clients to ensure our clients are taken care of.
