Job Description

Sous la supervision de la gestionnaire, production et administration, la coordonnatrice administrative joue un rôle de soutien névralgique pour les opérations des départements de la programmation et des nouvelles. En assurant une gestion rigoureuse et fluide des déplacements, un suivi administratif précis des dépenses. De concert avec la superviseure à l’administration des médias, elle s’assure de la coordination des événements sportifs majeurs et des productions spéciales. Le ou la titulaire du poste contribue directement à l'efficacité des équipes sur le terrain et au succès des opérations de diffusion.

Ayant à traiter des informations privilégiées, le titulaire est tenu à la confidentialité des informations et des données.

Critical Qualifications

  • Gérer et effectuer toutes les réservations de voyage (vols, hôtels et transports terrestres) pour les équipes de la programmation et des nouvelles.
  • Transmettre les informations logistiques détaillées au personnel (billets, réservations d'hôtel, indemnités per diem) pour la portion programmation.
  • Créer et maintenir à jour les profils de voyage de l'ensemble des collaborateurs de la programmation et des nouvelles.
  • Préparer les formulaires d'autorisation de carte de crédit pour les voyageurs ne possédant pas de carte corporative.
  • Assurer la codification, la vérification et la saisie de tous les comptes de dépenses (cartes BMO) pour les secteurs de la programmation et des nouvelles.
  • Compiler et concilier les folios d'hôtel, les factures AMEX et les reçus des cartes BMO.
  • Mettre à jour les fichiers de suivi budgétaire (conçus par la gestionnaire) pour refléter les coûts réels liés aux vols, hôtels, per diem et autres dépenses de production. (Spécifiquement pour les comptes BMO de la portion nouvelles).
  • Maintenir une liste à jour des taux de change.
  • Dresser mensuellement la liste du personnel assigné pour tous les matchs des Canadiens de Montréal (CH), du Rocket de Laval et de la LPHF.
  • Produire et gérer les listes d'accès (pass lists) pour les matchs du CH, du Rocket et de la LPHF ou autres équipes d’envergure sur la route.
  • Gérer la liste de stationnement pour tous les matchs (incluant les prépaiements pour le CH, le Rocket et autres équipes d’envergure).
  • Coordonner les services de restauration (traiteur) lors de divers événements majeurs (Jeux Olympiques, productions spéciales, etc.).
  • Effectuer toutes autres tâches connexes pour soutenir l'équipe de production et d'administration.

Preferred Qualifications

  • Diplôme en administration, en bureautique, en logistique ou toute autre formation jugée pertinente (ou expérience équivalente).
  • Expérience pertinente en coordination administrative, en comptabilité de base (comptes de dépenses, conciliation) ou en logistique d'événements/de voyages.
  • Excellente maîtrise de la suite Microsoft Office, avec un niveau particulièrement fort sur Excel (pour la gestion des tableaux de suivi et des coûts).
  • Maîtrise du français et de l'anglais, tant à l'oral qu'à l'écrit (essentiel pour transiger avec les fournisseurs de voyages, les hôtels et partenaires externes à travers le pays ou à l'international).
  • Connaissance du milieu de la production télévisuelle, des médias ou de l'industrie du sport (un atout majeur).
  • Rigueur et grand souci du détail
  • Capacité à gérer plusieurs dossiers simultanément et à respecter des échéanciers serrés.
  • Excellente capacité à travailler dans un environnement dynamique et à réagir rapidement aux imprévus et aux changements de dernière minute (typiques des milieux des nouvelles et du sport).
  • Capacité à prendre des initiatives pour résoudre des problèmes logistiques avant qu'ils n'impactent les équipes.
  • Fortes aptitudes pour le travail d'équipe et excellent sens du service à la clientèle interne, avec tact et diplomatie.

Adequate knowledge of French is required for positions in Quebec.
