2–5 years in insurance administration, investment administration, or financial services operations, with experience handling complex administrative transactions.

ABOUT THE ROLE

If you take real satisfaction in getting things done — accurately, completely, and on time — this role is built for you. As a Client Service Specialist, you execute the transactional and administrative work that keeps our clients' insurance and investment affairs running: application preparation, account updates, deposits, withdrawals, beneficiary changes, carrier follow-up, and everything in between.

You'll work from a centralized task queue with clear service standards, manage cases from start to finish, and build genuine specialized expertise — with room to grow into senior and product-specialty levels as our Advisor Support Model matures. All work is administrative processing performed under advisor direction and within a clearly defined scope; advice and suitability rest with the sponsoring advisor.

WHAT YOU’LL DO

• Process insurance and investment service requests from the centralized task queue through to completion.

• Prepare and process applications, account maintenance requests, policy changes, deposits, withdrawals, and beneficiary changes as administrative processing under advisor direction.

• Review documentation for accuracy, completeness, and compliance requirements.

• Conduct carrier and third-party follow-up to obtain information, approvals, and status updates — and proactively advance cases.

• Maintain comprehensive records in EquiSoft, closing every task with clear documentation of actions and outcomes.

• Communicate professionally with clients, advisors, carriers, and financial institutions on in-process transactions.

• Develop advanced knowledge of specific processing functions and products, and share it with the team.

WHAT YOU BRING

Must-haves

• 2–5 years of experience in insurance administration, investment administration, financial services operations, or a related processing environment.

• Post-secondary diploma in Business Administration, Office Administration, Financial Services, or a related discipline (or equivalent experience).

• Knowledge of insurance and investment administration processes and transactional workflows.

• Excellent attention to detail and a proven ability to follow complex processes through to completion.

• Strong organizational and time-management skills across multiple concurrent cases.

• Discretion and care in handling sensitive personal information, consistent with PIPEDA and firm privacy standards.

• Proficiency with Microsoft Word, Excel, Outlook, and PDF applications.

Nice-to-haves

• Experience with EquiSoft or a similar CRM / workflow management system.

• Additional coursework or training in insurance, investments, or financial services administration.

• LLQP and/or mutual fund licence — an asset, not a requirement. We'll fund a licensing path in your first year if you want one.
