Terminal Manager

The Terminal Manager is accountable to effectively manage the 24/7 operational functions of all facets of the terminal and assist the Regional Manager in the achievement of operational goals, growth and profitability. Terminal Manager oversight includes overall leadership of the entire team at the terminal.
The incumbent also plays a key role in medium and long-term strategic planning to enable growth while maintaining a safe operation.
The Terminal Manager is accountable to observe and report on compliance with all operating and safety rules. This position is responsible to foster strong working relationships with all of its customers, carriers and vessels with a focus on the timely and safe movement of product.
Major Responsibilities:
Daily Operations, Planning and Management (40-45%)
- The daily and proactive direction and operation of the facility, supplying direct service to the shipping public
- All facets of the Quality Process at the terminal including, but not limited to, non-conformance reporting, training, customer service management review, annual shipper specifications review, and to ensure that the process is in place and functioning.
- All areas of training and documentation, including, but not limited to, appropriate and current transloading procedures, safety, environmental, job tasks, maintenance, sanitation and personal professionalism.
- All areas of the maintenance program at the terminal, including but not limited to, all level one maintenance, PM requirements, document control, monthly reporting and communicating all problems and potential problems to the Regional Manager.
- Completing all required customer, shipper as well as any daily, weekly and/or monthly reports.
- Reporting any maintenance or other potential problems, and any facility and/or equipment damage to the Regional Manager and Regional Manager.
Safety Understanding, Compliance and Enforcement (35-45%)
- Compliance of all applicable and governmental regulatory standards.
- Be directly responsible for the safety and well being of all employees, vendors, drivers and visitors.
People/Coaching (50%)
- Ensures the effective management of human resources by setting and evaluating staff performance targets for direct reports, promoting diversity, engagement and a healthy workplace, fostering leadership competencies, promoting teamwork and individual development through training, employee recognition, coaching and performance management, maintaining internal communication.
- Positive interaction with customers and shippers.
- Communicating any and all terminal information to the Regional Manager, review new to-be-handled products and assess equipment and staffing requirements.
- Implement new transloading projects by sourcing people and equipment, implementing the right software tools and setting clear expectations to employees.
Financials, Budgets, Forecasts (10%)
- Prepare and facilitate customer facility audits; ensuring the best results possible are reached by reviewing previous audits and anticipating potential problem areas.
- Assist Regional in business development.
- Assist Regional in strategic issues management.
- Accounts Payable, approve for accuracy and completeness all terminal expenses, complete PO Audit system and forward all required documentation to Head Office, preparation of all month end expense accruals.
- Revenue Management, review all terminal invoicing, including Auto-Pay generated, preparation of all manual invoicing to ensure all terminal tonnages and rates are correct, preparation of month end revenue accruals.
- Financial Overview, preparation of the monthly Terminal Managers report summarizing all relevant and material events for the month, an overview of upcoming events, summary of equipment, safety, personnel and tonnages. Review of terminal financial statements and detail trial balance for accuracy and completeness
- Equipment Management, recommendation or action, as required, for repair and maintenance, replacement or new purchase of any terminal equipment so as to maintain the ongoing operating efficiency of the terminal.
- Budget, review and assist in preparation of annual terminal operating budget.
- Review and analysis, prepare review and analysis of terminal efficiency and costing.
Other duties as assigned by the Regional or Director.
Skills / Functional Knowledge
- Strong Leadership skills including consistently providing clear, balanced feedback that drives future performance of the terminal
- Deep understanding of health and safety policies/procedures and OHS legislation and ability to foster a safety culture
- Able to multi-task in a highly dynamic environment, with the ability to manage competing stake-holders and time sensitive needs and requests in a timely manner
- Strong active listening and communication skills
- Ability to foster engaged employees and a culture of team work
- Excellent networking and relationship building skills including developing strong internal connections across various functions including operations, finance, sales, etc
- Strong computer skills especially Microsoft Office (Excel, Word), SRS, ATS
- Knowledge of business and management principles involved in strategic planning, resource allocation, and change management.
- Knowledge of risk assessment (including cost/benefit analysis)
- Conceptual thinker, ability to see things from the perspective of various stakeholders
- Ability to exercise tact, discretion, sound judgment and initiative when investigating, questioning and dealing with inquires, requests and submissions that are sensitive and confidential in nature
- Valid driver’s license with a clean record
Education / Certification / Experience
- High school diploma or GED equivalent is required.
- Post secondary education with concentration in transportation and supply chain/logistics is preferred.
- A combination of education and experience may be considered.
- Minimum of 5 years related experience, 3 of which were in a leadership/supervisory role.
- Minimum 3 years of experience dealing directly with safety-related issues.
- Experience working in an industrial unionized environment is an asset.

Working Conditions:
- The incumbent is located in an office environment approximately 50% of the time, sitting in a comfortable position with frequent opportunity to move about.
- 50% of the time is spent onsite at the terminal supervising operations, mitigating issues, directing staff, interacting with clients, etc.
- The incumbent may be exposed to adverse weather conditions
- Moderate demands of light physical exertion include sitting for prolonged periods, standing, walking, bending and lifting up to 25 pounds.
- Moderate to high levels of work pressures and disturbances in work flow and schedules.
- Moderate to high levels of stress to meet conflicting and time sensitive deadlines while maintaining accident/injury free worksites
- Moderate to high level of stress dealing with issues of terminal supervision, health and safety, security.
- May involve some heavy equipment operation.
- Available 24/7 for urgent and time sensitive requirements
