Finance Assistant (AP/MES)

Job Title: Finance Assistant – AP/Member Expense & Salary Reimbursement

Permanent Full-Time

Reporting to: Finance Manager

Pay Grade: 4 ($38.71 hourly / $$70,452.20 annually)

Starting: June 2026

Posting Period: June 1 to 5, 2026

Position Overview

Responsible for processing and documenting vendor and employer billings, expenses, general ledger entries; processing and approving member expense applications; and routine correspondence at the provincial office of the BCNU. May provide support in other areas of the Finance department.

Key Responsibilities

Processes and documents vendor billings, employer billings, expenses, and general ledger entries.

  • Processes invoices and receipts received from vendors.
  • Processes invoices received from employers.
  • Contacts internal staff members, vendors, and/or employers to verify invoices.
  • Reconciles statements from employers and/or vendors.
  • Maintains and keeps current computer records by entering appropriate and timely information.
  • Files accounts payable documents as necessary.

Processes and approves member expense applications.

  • Processes expense and payout application forms received from union members.
  • Corresponds with members to answer questions, provide clarifications, and request follow-up information.
  • Applies appropriate collective agreement and policy provisions to calculations.
  • Processes online banking information update request forms.

Responsible for general accounting duties.

  • Completes month end procedures, which may include producing accruals.
  • Allocates invoices to the appropriate general ledger codes for financial statements using the budget document as a guide.
  • May complete monthly account reconciliations.
  • May be required to prepare and record bank deposits.
  • May be required to assist with year-end audit preparation work.
  • Analyzes general ledger including journal entries as necessary.
  • Ensures confidentiality of financial data and maintains the security of records.
  • May be required to produce weekly cheque runs.

Qualifications

Performs other related duties as assigned.

The Successful Applicant Must Have

  • A diploma or certificate in bookkeeping/accounting or completion of 2 years of post-secondary education with a concentration in accounting, finance, or a related field, and a minimum of 2 years of related experience or an equivalent combination of education, training, and experience.
  • Advanced knowledge in the principles, methods, and procedures of computerized expense accounting.
  • Ability to use a variety of accounting software packages as they pertain to the Finance department. Proficiency with MS Office applications. Experience in NetSuite or other accounting software is an asset.
  • Ability to identify key information and resolve issues that need to be reported.
  • Ability to communicate effectively both verbally and in writing, with a customer service mindset.
  • Ability to work collaboratively within a team and resolve issues effectively.
  • Strong organizational and time management skills. Ability to prioritize and monitor own work to ensure quality.
  • Ability to operate related equipment.
