Business Operations Manager

Job Responsibility:
Job Summary This is multi-functional role responsible for business operation management, financial bookkeeping, customer relationship management and supporting warehouse operations, supply chain management. This role ensures that business processes run smoothly, optimizing efficiency across logistics, office administration, and client interactions.
Responsibilities
Business Operations Management (50%)
- Oversee daily office operations and administration, including scheduling, supplies, and document management.
- Coordinate with HR team in Vietnam for hiring processes, payroll support, employee records, onboarding, and attendance tracking. Managing HR documentation.
- Ensure legal compliance for workplace safety and employment regulations. - Maintain basic financial records, including bookkeeping, expense tracking, and vendor payments.
- Coordinate with Accounting team in Vietnam for weekly and monthly reports on financial performance, logistics efficiency, and sales activity.
- Optimize budget planning for operational expenses.
Sales & Customer Support (30%)
- Assist Sales Representatives by tracking orders, preparing quotations, and processing invoices.
- Handle customer inquiries, complaints, and order adjustments, ensuring high satisfaction.
- Maintain and update the ERP system (Odoo), tracking client interactions, contracts, and follow-ups.
- Support business expansion efforts by identifying new sales opportunities based on customer data.
Supply Chain Coordination (10%)
- Follow orders with Supply Chain team in Vietnam, ensuring production aligns with demand. Ensure inventory accuracy by tracking stock levels and preventing shortages.
- Monitor import/export documentation to ensure compliance with Canadian trade regulations.
- Optimize logistics costs by finding the most cost-effective transportation and supply chain solutions.
- Coordinate with Warehouse Operation Specialist for incoming and outgoing shipments, inventory checks, and order fulfillment.
- Work with logistics partners (UPS, FedEx, LTL carriers) to schedule shipments and ensure on-time deliveries.
- Maintain compliance with warehouse safety and operational procedures.
Performance Optimization & Process Improvement (10%)
- Identify cost-saving opportunities in logistics, operations, and procurement.
- Analyze business performance metrics and recommend improvements.
- Implement automation tools and digital solutions for better workflow efficiency.
- Develop standard operating procedures (SOPs) to streamline business processes.
Experience
- 3+ years of experience in business administration, office operations, supply chain, logistics, or customer service roles.
- Warehousing/logistics experience and familiarity with Ontario's building codes or supply chains is a plus.
- Basic knowledge of bookkeeping and financial management. Ability to analyze business data and create reports.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with Odoo/ ERP/ CRM systems is preferred.
- Strong organizational and time management skills.
- A proactive approach to problem-solving and the ability to work independently as well as part of a team.
