About this Opportunity

The role of the Document Controller is to provide support to the project team for engineering and construction documents. The Document Controller will ensure project data correctness, consistency and timeliness are under control. They will support internal and external parties with prompt responses to document related questions. The person best suited for this role will actively recognize areas of improvement and work with the Document Control Lead to implement processes to streamline the document control workflow. They will be responsible for the receipt, maintenance, control and distribution of drawings, specifications, and other documents required to complete the scope of work. The document controller will be accountable to and will collaborate closely with the Project Team to ensure all information is current and distributed promptly to the applicable parties.

Job functions will involve:

• Receive, quality check, track engineering documentation in an Electronic Data Management System (EDMS).
• Handle, process, and distribute documents to ensure the deadlines are met while verifying relevant information is provided such as required metadata within appropriate system (e.g., drawing number, revision number, status, document type, title, stamps).
• Supporting engineering projects through the management of project documentation
• Ensuring that the document control function is being performed in accordance with corporate procedures and project requirements in a timely and efficient manner.
• Ensuring that all drawings and documents are logged into the document control system, distributed, and returned by users in accordance with Document Control procedures.
• Communicating effectively with the project team and engineering disciplines including providing ongoing updates on status of work.
• Produce drawing and document status reports as required.
• Attend project discipline meetings and contractor meetings, when required.
• Provide initiative and input for DC process, quality, productivity improvements to the DC Lead.

Required Skills & Qualifications:

• Minimum 5 years of work experience as a Document Controller or similar role, preferably in the oil and gas industry.
• Related Post-Secondary education, such as Information and Records Management, Administration would be considered an asset.
• Hands-on experience with document control software (e.g., Omega 365, Hexagon, Aconex, Adept).
• Knowledge of the project management process, from concept to delivery.
• Comprehensive knowledge of Microsoft Office programs.
• Solid organizational skills, including multitasking and time-management.
• Thrives in a high-paced, action-oriented environment; able to complete tasks quickly and efficiently while exercising attention to detail.
• Excellent communication and interpersonal skills.
• Able to work collaboratively on a multi-disciplinary team.
