Position Summary
We are seeking a dynamic and innovative Senior Manager of Facilities & Parkland to lead and support the facilities team towards continued growth and oversee improvements and maintenance of the facilities and parkland at the 40-acre site.
Reporting to the Director of Business Development and Event Operations, the Sr. Manager of Facilities & Parkland will provide leadership, operational oversight, and long-range planning for all buildings, parkland, infrastructure, and public spaces at The Confluence. This role ensures that facilities, grounds, systems, and capital assets are safe, reliable, well-maintained, and aligned with organizational standards, cultural significance, visitor experience, and regulatory compliance. The Sr. Manager leads the facilities team, oversees contractors and service partners and ensures coordination between staff, vendors, City partners, and stakeholders.
The right person for this role will be a strategic thinker with a background in project management (PMP) and facilities management.
Key Responsibilities
Business and Facilities Management (50%)
- Budget forecasting, monitoring and evaluating vendors for facilities.
- Deliver projects supporting organizational needs on time and budget.
- Create policies and procedures pertaining to venues and facilities.
- Reduce risk and meet regulatory obligations by leading inspections and conduct safety reviews
- Build a high-performing team while training and mentoring staff with a positive attitude.
- Oversee landscaping, environmental considerations to protect the site value.
- Lead inspections and safety reviews to help reduce risk and meet regulatory requirements.
- Risk management, while performing audits and hazard mitigation.
- Coordination and planning allowing events to support program delivery.
- Provides monthly reports to illustrate performance and alignment with the Strategic Plan.
Facility and Grounds Maintenance (50%)
- Accountable for overall facility operation and presentation to ensure safety and image is upheld.
- Responsible as the main point of contact for the property management vendor and tenants of the Deane House to resolve operational service needs quickly.
- Meet with vendors, contractors and management as needed to review and provide support to resolve operational challenges, maintenance needs, and implement new initiatives.
- Ensure general maintenance is maintained related to security, janitorial services, landscaping, snow removal, etc.
- Manage and oversee work on any subtrades that visit The Confluence to complete work and ensure invoicing for work is correct.
- Manage inspection and audit process for services delivered and report monthly.
- Ensure that operational logs are maintained and that reports on all non- conformances and critical incidents related to the facility and operations are documented.
- Maintains all necessary maintenance logs and financial costs for upkeep of premises reporting to the Director on a monthly basis.
- Coordinate with AE Security, track reports of building alarms, address security issues as needed.
- Coordinate with Calgary Parking Authority on the management and monitoring of parking.
- Maintain and control inventory and records of all building keys and security codes.
Qualifications - Minimum and Preferred (Education, Certification, Degree, Concentration, Skills, Knowledge, etc.):
- Degree or relevant post-secondary diploma and/or trade certification.
- Minimum 7-10 years’ experience responsible for facilities management operations.
- Project Management Program Certification (PMP) is preferred.
- Power Engineering (Class 3 or 4) Certification is preferred.
- Must possess outstanding oral, written and interpersonal communication skills.
- Ability to develop and maintain strong professional relationships with internal and external community members and work effectively with all levels of employees is critical.
- Highly effective project management, prioritization, multi-tasking, and time management skills to meet deadlines.
- High level of critical and logical thinking, analysis, and reasoning to identify underlying principles, reasons, or facts.
- Exhibit strong personal values, integrity and hands-on work habits.
- Highly energetic with a strong work ethic, and ability to work independently.
- Comfortable with managing multiple projects and multi-tasking.
- Ability to create, interpret and implement company policies and procedures.
- Strong computer skills and ability to work with Microsoft Office suite of business programs.
- Experience with heritage or municipal sites and Indigenous site stewardship.
- Advanced asset management software knowledge with the ability to manage multiple ongoing projects.
- Personal vehicle required for work purposes; valid driver’s license is required.
- Must be able to work some evenings, mornings, and weekends as required and be on call as needed.
- On call emergency services are required
