Order Desk Coordinator

The Order Desk Coordinator will coordinate order processing, billing, inventory coordination, and administrative support for Distribution, Warehouse, Finance and Sales. This role requires strong attention to detail, problem-solving skills, and the ability to work collaboratively across departments to ensure smooth operations and customer satisfaction.
This is a full-time, permanent postion.

Duties and Responsibilities:
Order Processing & Billing:
Process and manage sales orders, invoices, and payments.
- Maintain accurate financial records and reconcile transactions.
Assist with accounts receivable, including payment processing and follow-ups.
Inventory & Logistics Coordination:
Facilitate order fulfillment and transfers between locations.
- Oversee shipping and receiving logistics, including document preparation.
Ensure accurate inventory tracking and reporting.
Product & Pricing Management:
Maintain and update product listings and pricing structures.
- Ensure compliance with industry regulations for product registration.
Generate barcodes and assist with product tracking.
Administrative Support:
Manage office communications, including customer inquiries and internal coordination.
- Handle incoming and outgoing mail, including financial transactions.
Order and maintain office supplies and assist with special programs.
Collateral Administration:
Receive and process sales, marketing and staff collateral orders.
- Charge to appropriate GL or department code.
Communicate with Sales Coordinator, Finance and Distribution on disbursement.
Qualifications
Previous experience (2 years minimum) in order processing, logistics, or administrative support is required.
- Proficiency with ERP systems and financial transactions is required.
- Strong organizational and multitasking skills in a fast-paced environment.
- Excellent communication and customer service abilities.
- High attention to detail and problem-solving mindset.
Experience in the beverage or distribution industry is an asset.
Education Requirements
High school diploma
Associate's degree or relevant certification is a plus
