We're looking for an organized Facilities Coordinator for an exciting 1-month contract opportunity to help support our dynamic team!

Location: On site, St John's, NFL
Start Date: ASAP
Job Type: 1 month contract (with possibility of extension)

Responsibilities
> Event Support: Set up rooms, handle tech, coordinate vendors, and organize staff events like the Christmas party or Summer BBQ.
> Problem Solving & Maintenance: Help building occupants with issues, report urgent problems, and make sure maintenance or repair contractors do their job.
> Office Projects: Assist with office renovations, equipment installation, and routine floor inspections.
> Vendor & Billing Care: Work with third-party suppliers to ensure invoices are accurate and service contracts are met.

> Reporting: Keep track of key reports, including office security, staff counts (FTEs), broker data, and team performance.

Qualifications
> Experience in office administration, facilities coordination, or event management.
> High school diploma or equivalent required; a Bachelor's degree in Business Administration, Hospitality, or a related field is often preferred.
> Hands-on experience dealing with third-party vendors (cleaners, caterers, IT technicians, building management) and reviewing basic service contracts or invoices.
> Demonstrated experience planning and executing company-wide events (parties, town halls, vendor setups).
> Strong knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace - specifically Excel for tracking reports like FTEs, budgets, and performance metrics.
> Familiarity with basic building operations, health & safety regulations, and ticketing systems for facilities maintenance
> Excellent verbal and written skills to liaise clearly with internal teams, executives, and external vendors.
> A proactive mindset to resolve urgent issues (like equipment failure or facility emergencies) quickly and calmly.
> A welcoming, service-minded approach to support building occupants and staff needs.
