Location: 10 Peel Centre Drive Brampton

Hours of work: 35 hours per week

The Legal Services division provides legal and strategic advice service and representation to the Regional Municipality of Peel through the effective use of internal and external counsel and resources. Responsible for providing overall program and operational support to Legal Services including providing support services to the Senior Director Legal Services & Deputy Regional Solicitor Legal Services.

Major Responsibilities:

• Coordinate program and operational support to the Senior Director Legal Services & Deputy Regional Solicitor Legal Services
• Support Legal Services planning and budgeting process
• Support Departmental Management Team and section team meetings creating meeting agendas and preparing meeting minutes as well as divisional meetings and events
• Compile input and maintain performance measures for Legal Services and other data as directed
  • Example: Co-ordination of records management environment in Legal Files to allow for quick access to historical documents (reports research documents etc)
• Conduct general research (gathers information locates backup information etc.)
• Development and coordination of continuing education and conference materials including tracking registrations to outside conferences and ensuring that all staff attend or receive continuing legal education opportunities
• Create databases spreadsheets to support program requirements
• Create meeting agendas and prepare meeting minutes
• Initiate and follow up on actions and complete multiple tasks independently
• Develop and maintain team work plans and monitor milestone completion
• Lead in the development and improvement of Legal Services processes and policies
• Be an administrator of the electronic file management system
• Be an administrator for staffing such as HRMS onboarding new staff managing leaving staff and recruitment
• Manage the external legal counsel roster purchase orders and invoicing
• Prepare non-routine correspondence presentations reports letters and other documents
• Respond to information requests on behalf of other staff in Legal Services
• Address and resolve internal and external inquires
• Manage and publish of information to the divisions website on Pathways
• Promote and model the Regional Values
• Build relationships with internal and external stakeholders
• Other duties as assigned

Qualifications:

• Community college diploma or higher and/or an equivalent combination of education and experience
• A minimum of three years related work experience preferably
• Knowledge of project management principles and tools
• Knowledge and experience with process improvement methodologies and tools
• General understanding of political environment Committed customer service focus
• Demonstrated critical thinking skills
• Well developed analytical problem solving research and data analysis skills
• Well developed writing skills to prepare reports and information papers for a variety of audiences
• Good communication negotiation consultation facilitation and conflict resolution skills
• Good interpersonal skills for effective liaison with other staff divisions or departments
• Effective time management skills ability to work independently with minimal direction and meet strict deadlines
• Proficiency in all MS Office applications (Visio Word Excel PowerPoint) EIM
• Ability to work well in a constantly changing environment

In this role youll benefit from the flexibility of a hybrid work arrangement that prioritizes meaningful in-person connection. A minimum of two days per week on-site is required with additional in-person presence as operational needs evolve. This arrangement allows for a blend of in person and hybrid work that adapts to support both organizational priorities and employee flexibility and is subject to change over time.
