POSITION: Intake & Events Coordinator/ Local Immigration Partnership (LIP) Assistant

WORK HOURS: The regular working hours for this position are 21 hours per week (0.6 FTE) , with up to an additional 7 hours per week on a casual basis as required. Standard working hours are 8:30 a.m. to 4:30 p.m., Wednesday to Friday, with a 2-hour Saturday shift for Coffee & Talk sessions.

WORK SCHEDULE: This is an in-person position. Regular Saturday shifts are required to support recurring community events (e.g., Coffee & Talk), and occasional evening or Sunday availability may be required for field trips and special events.

PROGRAM SUMMARY:

The English Language and Multicultural Services (ELMS) Program empowers newcomers to Canada to live full lives in our community. The program offers free multi-level English classes, volunteer tutor matching, information and orientation, community connection services, employment services, and cultural learning activities. The service utilizes learner-centered approaches to teach and introduce newcomers to Canadian culture and resources, to connect them with the community and to strengthen English speaking, listening, reading, and writing skills. A welcoming and supportive community is built through shared intercultural experiences.

The Smithers Local Immigration Partnership (LIP) is funded by Immigration, Refugees and Citizenship Canada (IRCC) and brings together local government, community agencies, associations, and other partners to develop and implement initiatives that support immigrant and refugee settlement and integration in the community. The LIP serves as a collaborative planning table that may include representatives from settlement and community services, education, business, recreation and culture, policing, libraries, volunteer organizations, and other key stakeholders, and may be supported by immigrant advisory input.

POSITION SUMMARY:

This position combines two key functions in supporting newcomers and community integration: the Intake & Event Coordinator and the LIP Assistant role. Both functions work together to enhance newcomer services, strengthen community connections, and support local integration initiatives.

The Intake & Event Coordinator plays a vital role in supporting newcomers to Canada by managing the intake process and coordinating community engagement activities. This includes conducting client intake assessments, identifying needs and strengths, and connecting individuals to appropriate programs and services. The role also involves planning and delivering events that promote community integration, cultural exchange, and awareness of newcomer supports, helping to build meaningful connections between clients and community resources.

In addition, the position functions as the LIP Assistant, supporting the Local Immigration Partnership (LIP) Coordinator in the administration and coordination of LIP initiatives. This includes assisting with partnership activities, supporting collaborative planning efforts, and contributing to the implementation of initiatives that strengthen newcomer integration across the community.

REPORTING RELATIONSHIPS:

• Reports To:  Settlement Services Lead and LIP Coordinator

RESPONSIBILITIES:

1. Intake Coordinator (0.26 FTE or 9 hours per week)

• Serve as the first point of contact for newcomers seeking support, ensuring a welcoming and inclusive experience.


• Provide comprehensive information about ELMS services and program activities.


• Conduct Needs & Strengths Assessments, refer clients to appropriate internal and external services based on identified needs, and follow up as required.


• Record, maintain and report client data and information through relevant platforms.


• Build and strengthen networks with community stakeholders to improve settlement experience for newcomers.

2. Events Coordinator (0.23 FTE or 8 hours per week)

• Plan, organize and execute events and field trips that improve community engagement, cultural exchange and newcomer integration – based on identified client needs.


• Promote events through marketing and outreach efforts, including newsletters, social media and community bulletins.


• Host Community Connection events such as ‘Coffee & Talk’ and other English Practice Groups outside regular working hours and on weekends.


• Work with clients and stakeholders to identify themes and topics relevant to the newcomer community for workshops, information sessions, and social activities.


• Evaluate the success of events through feedback collection and reporting to improve future initiatives.


• Monitor all upcoming community events and communicate to clients accordingly.


• Assist with other ELMS program activities as needed (Workshops, Volunteers, etc)

3. Local Immigration Partnership (LIP) Assistant (0.11 FTE or 4 hours per week)

• Assist with the administration, planning, implementation and evaluation of the Smithers LIP initiatives.


• Support the LIP Coordinator in organizing and recording meetings, working groups and community forums.


• Research the best practices and suggest project ideas that enhance newcomers' cultural and community integration.


• Conduct evaluations and collect feedback that measure the LIP’s impact and successes.


• Other duties and responsibilities as assigned by the supervisor.

QUALIFICATIONS:

• Relevant post-secondary education and experience in immigration services, adult education, social services or a related discipline and/or combination of equivalent relevant education and experience.


• Experience working with diverse people and knowledge of the challenges facing immigrants settling in Canada.

SKILLS AND ABILITIES:

• Highly motivated and detail-oriented with a strong aptitude for organizing and prioritizing tasks effectively, and a clear understanding of accountability and personal responsibility.


• Excellent written and verbal English language skills with the ability to type 30-35 WPM.


• Strong event planning skills and the capacity to manage multiple tasks and projects simultaneously, with a proactive approach to solving and avoiding problems.


• Proficiency in Microsoft Office, promotional material design and marketing tools, social media platforms, and the ability to deliver accurate reports and presentations.


• Cultural sensitivity and awareness to work with diverse people, including those from various linguistic, cultural, and socioeconomic backgrounds.


• Personable and professional attitude ensuring clients feel valued, respected and comfortable seeking support, while protecting client confidentiality.


• Self-directed and able to work well independently and as part of a team.


• Knowledge of local community organization and available services.

ADDITIONAL REQUIREMENTS:

• Must be legally authorized to work in Canada.


• Understand and be committed to terms of confidentiality and sign a pledge of confidentiality.


• Undergo a Criminal Record Check


• Possess a valid Class 5 Driver’s License.
