Accounting Clerk III - Part-time - Finance Support Clerk

DEFINITION:

Under the direction of the Deputy Director of Finance, performs a variety of accounting, clerical and reception duties associated with the Finance Department, as well as office overload and support for the Finance Department and other City departments as required.

EXAMPLES OF WORK PERFORMED:

1. Perform reception duties and deal with the public in a friendly and proficient manner;
2. Post daily bank uploads (PT/UB) and track and code incoming bank transactions;
3. Prepare, review, balance, and distribute monthly financials, including variance analysis;
4. Prepare and post journal entries, as required;
5. Process outgoing mail and complete the bank and mail run, as required;
6. Solve problems and work with all financial functions ;
7. Provide support to the Finance Department by performing a range of financial duties, including preparing payment schedules, calculating accrued interest and taxes, reconciling accounts, compiling statistical information, preparing the annual T4A return, and assisting with the Tax Sale process.
8. Assist the Finance Department with correspondence, drafting letters, filing, research, preparing agendas, taking minutes, Laserfiching, etc., as required;
9. Perform data entry and switchboard duties, as required;
10. Provide office assistance and relief for Accounts Payable, as required;
11. Provide office assistance and relief for Accounts Receivable, as required;
12. Cover Cashier absences and breaks; as required;
13. Other related duties, as required.

MINIMUM TRAINING AND EXPERIENCE:

1. Secondary school graduation;
2. Minimum of three years' related work experience, including cashier and bookkeeping experience;
3. Computer experience, preferably in a Windows environment using Vadim software, with Word and Excel;
4. Strong analytical and problem-solving skills;
5. Demonstrated ability to use financial formulas and spreadsheets;
6. Demonstrated ability to reconcile accounts;
7. Familiarity with General Ledger account structures;
8. Familiarity with City Tax Master would be an asset;
9. Ability to operate related equipment;
10. Accurate typing speed of 50 wpm;
11. Ability to work independently, set priorities, organize work, accomplish tasks and assignments, meet deadlines and manage a large volume of work with ever changing priorities in a flexible manner, often under pressure;
12. Accurate data processing skills – both keyboard and calculator (efficiency is essential);
13. Ability to deal tactfully and effectively with co-workers and the public, using demonstrated written and verbal communication skills, in order to convey information and explain technical and procedural matters;
14. Good written and oral communication skills;
15. Valid Class 5 B.C. Driver's Licence.
