Business Operations Manager

We are looking for a Business Operations Manager to take ownership of the "back end" for our client, a small, but successful multi-million dollar marketing company in the promotional products space that is growing quickly.

Reporting directly to the CEO, you will own the company's bookkeeping, reconciliations, and administrative operations. This is a role for a capable, self-directed professional who wants a real seat at the table and the chance to grow with a business that is scaling quickly.

Position details

• Salary: $70,000–$80,000 per year, based on abilities and credentials, plus an annual bonus.
  
• Schedule: Full-time, Monday to Friday, 8:30 a.m.–5:00 p.m.
  
• Location: Remote, with a weekly in-person meeting at the company's Burlington location. Candidates must live within approximately a 30-minute drive of Burlington.
  

Key responsibilities

Financial administration

• Own full-cycle bookkeeping in Quickbooks, including accounts receivables and accounts payable.
  
• Complete bank, credit card, and account reconciliations accurately and on schedule.
  
• Track expenses, cross-check invoices, and keep the books clean and current.
  
• Prepare payroll and support month-end processes and financial reporting.
  
• Serve as the main point of contact for the external accountant.
  
• Provide the CEO with clear, timely information on the company's financial position.
  

Business operations and administration

• Manage the administrative side of the business so the CEO and sales team can focus on clients and growth.
  
• Support client orders and branded merchandise projects, helping ensure they are completed accurately and on time.
  
• Coordinate meetings, schedules, and vendor relationships.
  
• Maintain organized electronic records and handle sensitive information with discretion.
  
• Identify and implement systems and processes as the company grows.
  
• Take on new responsibilities as the business scales.
  

Requirements

• Post-secondary education in accounting, business, or a related field; an accounting designation or bookkeeping certificate is a strong asset.
  
• 5+ years of experience in bookkeeping, accounting, or office/operations management, ideally in a small business where you own the function end to end.
  
• Advanced Quickbooks skills is required. You can run the books with minimal supervision.
  
• Proven experience with account reconciliations, AR/AP, and payroll.
  
• Strong computer skills, including advanced Excel and proficiency in Word, Outlook, and PowerPoint.
  
• Comfortable working remotely and independently, managing your own priorities and deadlines.
  
• Excellent written and verbal English communication skills.
  
• Strong organizational skills and attention to detail.
  
• A proactive, ownership-driven approach. You see what needs doing and get it done.
  
• Experience in the promotional products, branded merchandise, marketing, print, or fulfillment industry is an asset.
  
• Must live within approximately 30 minutes of Burlington.
