Join Us as Senior Site Contract Specialist- Make an Impact at the Forefront of Innovation! The Senior Site Contract Specialist manages the preparation, negotiation and finalization of the contracts process. Liaises and establishes effective relationships with sites and internal functional teams. Ensures quality, objectivity and risk analysis in the efficient delivery of Investigator Contracts. The role may involve mentoring junior staff.

What You'll Do

  • Draft, review, negotiate and finalize agreements with study sites in accordance with local/accepted process.
  • Negotiate within approved parameters both investigator grant budget negotiation parameters, contractual terms and conditions in accordance with
  • Company contractual considerations, client contractual considerations, established process with sites and follows established escalation routes.
  • Ensure compliance to established negotiation parameters, authority approval, contractual process and client expectations.
  • Ensure compliance of budgetary guidance, templates and process.
  • Identify and assess legal, financial and operational risks in accordance with company and client contractual considerations, and escalate to appropriate level of the organization per established processes.
  • Provide recommendations and alternative resolutions to Investigator Contracts negotiations through established escalation channels.
  • Coordinate with internal functional departments to ensure various site startup activities are aligned with contractual activities and mutually agreed upon timelines; ensure alignment of contract negotiation process for sites and study are properly aligned to the critical path for site activation.
  • Achieve target cycle times for site activations.
  • Ensure guidelines and process are followed for efficient escalation of out of parameter issues, as applicable.
  • Complete tracking and reporting as required.
  • May provide training and mentoring to junior staff.
  • Participate in country process improvement initiatives, representing Global Site Contract activities within country team meetings.
  • Act as country subject matter expert in review of Investigator Contracts training materials.
  • Liaise with Global Site Contracts to ensure full compliance with established global processes and corporate directives.
  • Complete periodic quality reviews and peer feedback reports.
  • May act as lead with amendment/novation client projects and oversight of confidentiality agreement negotiations.

Education & Experience Requirements (Sr. Site Contract Specialist):

  • Bachelor's degree or equivalent and relevant formal academic / vocational qualification.
  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 5+ years).

In some cases an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

  • Bachelor's degree or equivalent and relevant formal academic / vocational qualification.
  • Previous experience that provides the knowledge, skills, and abilities to perform the job (comparable to 8+ years).

In some cases an equivalency, consisting of a combination of appropriate education, training and/or directly related experience, will be considered sufficient for an individual to meet the requirements of the role.

Knowledge, Skills, Abilities:

  • Detailed understanding of the principles of contract law, including a general understanding of laws that influence contract language, such as business, intellectual property and local tax and stamp laws
  • Effective communication skills (verbal & written) in English and French.
  • Detailed understanding and demonstrated ability to effectively negotiate investigator grant budgets within negotiation parameters
  • Demonstrated skill in strong attention to detail
  • Excellent analytical and decision based thinking skills
  • Solid knowledge and understanding of the pharmaceutical product development process and involvement of CROs
  • Able to work independently or in a team environment
  • Good organizational and time management skills
  • Working knowledge of PPD SOP & WPDs
  • Able to organize competing priorities logically and review outstanding contractual risk and issues
  • Able to effectively use automated systems and computerized applications
  • Ability to demonstrate a customer focused style of communication, problem solving and collaboration
  • Detailed understanding of the principles of contract law, including a general understanding of laws that influence contract language, such as business, intellectual property and local tax and stamp laws
  • Detailed understanding and demonstrated ability to effectively negotiate investigator grant budgets within negotiation parameters
  • Demonstrated ability to independently train and mentor staff
  • Demonstrated ability to provide valuable feedback to Investigator Analysts
  • Strong problem solving skills that are demonstrated via solid risk analysis that results in resolution or escalation as appropriate
  • Demonstrated ability to effectively negotiate Investigator Contracts in the best interests and position of the company and client

Working Conditions and Environment

  • Ability to work in an upright and /or stationary position for 6-8 hours per day.
  • Repetitive hand movement of both hands with the ability to make fast, simple, repeated movements of the fingers, hands, and wrists.
  • Frequent mobility required.
  • Occasional crouching, stooping, with frequent bending and twisting of upper body and neck.
  • Light to moderate lifting and carrying (or otherwise moves) objects including luggage and laptop computer with a maximum lift of 15-20 lbs.
  • Ability to access and use a variety of computer software developed both in-house and off-the-shelf.
  • Ability to communicate information and ideas so others will understand; with the ability to listen to and understand information and ideas presented through spoken words and sentences.
  • Frequently interacts with others to obtain or relate information to diverse groups.
  • Performs a wide range of variable tasks as dictated by variable demands and changing conditions with little predictability as to the occurrence. Ability to perform under stress. Ability to multi-task.

  • Rédiger, examiner, négocier et finaliser les accords avec les sites d’étude conformément aux processus locaux/acceptés.
  • Négocier dans les paramètres approuvés les budgets des subventions investigateurs, ainsi que les termes et conditions contractuels conformément aux
  • Considérations contractuelles de l’entreprise, du client, aux processus établis avec les sites et suivre les voies d’escalade définies.
  • Assurer la conformité aux paramètres de négociation établis, aux approbations d’autorité, aux processus contractuels et aux attentes des clients.
  • Assurer la conformité aux directives budgétaires, modèles et processus.
  • Identifier et évaluer les risques juridiques, financiers et opérationnels conformément aux considérations contractuelles de l’entreprise et du client, et les escalader au niveau approprié de l’organisation selon les processus établis.
  • Fournir des recommandations et des solutions alternatives dans les négociations de contrats investigateurs via les canaux d’escalade établis.
  • Coordonner avec les départements fonctionnels internes afin de garantir que les activités de démarrage des sites sont alignées avec les activités contractuelles et les échéanciers convenus; assurer que le processus de négociation contractuelle pour les sites et l’étude est aligné sur le chemin critique pour l’activation des sites.
  • Atteindre les délais cibles pour l’activation des sites.
  • S’assurer que les directives et processus sont suivis pour une escalade efficace des problématiques hors paramètres, le cas échéant.
  • Compléter le suivi et les rapports requis.
  • Peut fournir formation et mentorat au personnel junior.
  • Participer aux initiatives d’amélioration des processus au niveau pays, en représentant les activités Global Site Contract lors des réunions d’équipe locales.
  • Agir en tant qu’expert(e) local(e) lors de la révision des supports de formation des contrats investigateurs.
  • Collaborer avec Global Site Contracts afin d’assurer la conformité complète aux processus globaux établis et aux directives corporatives.
  • Réaliser des revues qualité périodiques et des rapports de feedback entre pairs.
  • Peut agir en tant que lead sur des projets d’amendement/novation client et superviser les négociations d’accords de confidentialité.

  • Excellentes compétences en communication (orale et écrite) en anglais et en français.
  • Compréhension approfondie et capacité démontrée à négocier efficacement les budgets des subventions investigateurs dans les paramètres définis
  • Grande attention aux détails démontrée
  • Excellentes capacités analytiques et de prise de décision
  • Bonne connaissance du processus de développement des produits pharmaceutiques et du rôle des CROs
  • Capacité à travailler de manière autonome ou en équipe
  • Bonnes compétences organisationnelles et de gestion du temps
  • Connaissance pratique des SOP PPD & WPDs
  • Capacité à organiser logiquement des priorités concurrentes et à analyser les risques contractuels en suspens
  • Capacité à utiliser efficacement des systèmes automatisés et des applications informatiques
  • Capacité à démontrer un style de communication orienté client, de résolution de problèmes et de collaboration

Conditions de travail et environnement

  • Capacité à travailler en position assise et/ou stationnaire pendant 6 à 8 heures par jour.
  • Mouvements répétitifs des mains avec capacité à effectuer des gestes rapides et répétitifs des doigts, mains et poignets.
  • Mobilité fréquente requise.
  • Occasionnellement s’accroupir, se pencher, avec flexions et rotations fréquentes du haut du corps et du cou.
  • Lever et transporter des charges légères à modérées (y compris bagages et ordinateur portable) avec un poids maximal de 15 à 20 livres.
  • Capacité à accéder et utiliser divers logiciels informatiques, développés en interne ou commerciaux.
  • Capacité à communiquer des informations et idées de manière claire; capacité à écouter et comprendre les informations transmises oralement.
  • Interaction fréquente avec différents interlocuteurs pour obtenir ou transmettre des informations.
  • Réalisation d’un large éventail de tâches variables selon des exigences changeantes avec peu de prévisibilité. Capacité à travailler sous pression et à gérer plusieurs tâches simultanément.
  • Présence régulière et fiable.
