Accounts Payable Clerk

About the Opportunity

• Oversee and ensure that all accounts payable and purchasing documents are processed efficiently, accurately and in a timely manner.
• Provide both Internal and external customer service.
• Review of AP invoice coding to ensure costs & taxes are being captured properly; that there is proper invoice approval by operations; that no duplicate invoice/payments exist; and validation of the vendor tax registration number.
• The logging and resolution of any AP system issues with IT Support.
• Responsible for all month end AP accruals and performing month end close routines for all associated AP month end reporting.
• Responsible for the AP Subledger to General Ledger reconciliation and resolving any variances identified within 10 days of the month end close.
• Responsible for monthly reporting of key performance indicators for operations and presenting to the operations team and management monthly (i.e. cost analysis to census).
• Ensure that all cheques outstanding > 60 days are cleared (voided or re-issued if needed)
• Month-end review to ensure all outstanding payables >90days have been resolved.
• Month end review to ensure no future dated invoices exist.
• Responsible for expense report processing.
• Responsible for reconciling expense reports to credit card statements; and processing all credit card payments.
• Responsible for new supplier credit applications, new vendor invoice approval, and the setup of EFT payment.
• Responsible for balancing all AP Intercompany transactions.
• Preparation of daily bank deposit slip; processing of cheque deposits through office bank machine.
• Continuously search for opportunities to strengthen internal controls, improve AP processes & reduce rework/manual work.
• Strong team member; provide support to the rest of accounting team as required.
• Assist with any other duties or special projects assigned by management.

About You

• Excellent communication skills (Written and Verbal).
• 5 years minimum of related experience.
• Strong data entry (efficient and accurate) for high volume environment.
• Proficient with accounting systems: NetSuite and QuickBooks.
• Excel skills required–PivotTables, VLOOKUP desirable.
• Able to work overtime during month end/year end close (if needed).

Salary Range
$55,000 - $60,000/year
