We are now seeking a Payroll Lead to join our growing team.

The Role

The Payroll Lead will be responsible for performing the day-to-day payroll operations in a fast-paced work environment and managing all aspects of North American payroll operations, which includes overseeing company payments, reviewing payroll changes, and compiling payroll summaries for management review.

Main Responsibilities:

Corporate Payroll Operations

• Process and audit bi-weekly and supplemental payrolls accurately and timely
• Manage all aspectsof the payroll process, such as approvingtransactions and reviewing exemptions
• Apply and maintain statutory deductions accurately, including:
• Canada: CPP(CPP1/CPP2), EI, federal/provincial tax
• U.S.: Federal income tax, FICA (Social Security & Medicare), federal and state unemployment, state and local taxes
• Main point of contact for any payroll-related inquiries, payroll account reconciliations, and payroll system changes and upgrades, etc. and escalate when appropriate
• Work with HR to ensure all new hires, terminations, and payroll changes are processed on time and correctly
• Handle all payroll quarterly and year-end reviews and activities
• Manage the relationship with Dayforce Tax (our TPA) for tax filings, including 941 filings, company responsible jurisdictional filings, amended quarterly returns, and any tax-related inquiries
• Audit payroll transactions to ensure that accounts, paymentdates, taxes, and controls are accurate and up-to-date
• Develop and maintain quality control and processreview, while ensuring payroll and tax compliance
• Prepare, file, and reconcile year‑end payroll reporting, including:
• Canada: T4s, RL1s, summaries, amendments
• U.S.: W‑2s, W‑3s, state equivalents
• Ensure timely and compliant preparation and submission of Records of Employment (ROEs), and respond to Service Canada inquiries as required
• Oversee the reconciliation of payroll-related general ledger (GL) accounts, including payroll accounts, tax withholdings, and other payroll liabilities, to ensure all entries are accurate and discrepancies are promptly investigated and resolved
• Create monthly, quarterly, annual, and ad hoc payrollreports as needed
• Prepare, process, and reconcile tax slips, summaries, as well as CRA and IRS statements and deductions

Compliance, Regulatory Reporting & Payroll Governance

• Ensure payroll compliance with all applicable legislation, including:
• Canada: CRA, Employment Standards legislation, year‑end T4 filings for all provinces
• U.S.: IRS, state agencies, wage and hour regulations, quarterly and annual payroll filings
• Own and oversee End-of-year adjustments/amendments for T4 / RL1
• Manage and support year-to-date (YTD) payroll calculations and data validation for mid-year transitions and new client onboardings.
• Support audits, reviews, and compliance inquiries, including CRA (e.g., PIER, PD4R)
• Research and advise on applicable taxation on pay codes and deduction codes
• Partner with Internal Audit, Finance, HR, and others to gain knowledge, maintain good relations and stay current on system and process improvements
• Support payroll system controls, configuration changes, and testing related to compliance and accuracy
• Assist client payroll and billing requests via telephone and/or email in an efficient and time-sensitive manner
• Provide support and answer questions concerning entry of TD-1s/CPT-30 forms by payroll team
• Research, manage and lead efforts to implement new tax legislation, both Federal and Provincial
• Lead on T2200 and assist in gathering and completing the forms for qualified candidates
• Identify opportunities to strengthen payroll controls, compliance, and process efficiency

What experience are we looking for?

• Post-secondary diploma or degree in accounting, finance, human resource management, or a similar field
• PCP, CPM, or CPP designation preferred or in progress
• Minimum 5+ years of full-cycle payroll processing experience, including 3+ years in payroll management
• Advanced proficiency in Microsoft Office, especially Excel and extensive experience with payroll software, Dayforce and Great Plains a plus
• Deep knowledge of Canadian and U.S. payroll legislation, labor standards, taxation rules, and year-end reporting processes
• The ability to ethically work with employee-sensitive information
• Solid knowledge of data-entry management
• Self-starter with excellent organizational skills with attention to detail and the ability to prioritize complex tasks and meet critical deadlines
• Bilingual (French/English) an asset

• The expected salary range for this role is $70,000 - $80,000 CAD. Compensation will be determined based on candidate location, skills, experience, and review of internal and market rate analyses
