Part Time (PM Shift) Transport Administrative Assistant

Duties and Responsibilities

• Be aware of all aspects of the business requirements/ arrangements for customers.
• Provide a courteous service to all customers and to handle all inquiries in a prompt and efficient manner.
• Review all emails and take appropriate action. Handling inbounding and out bounding calls to customers.
• Print emails, attached necessary paperwork (manifests, run sheets, etc)
• Receiving calls from customers and set up orders as required by customer's
• Ensure quality entry of all orders and proper use of notes as per SOPs
• Perform shipment tracing
• Ensure data entry of delivery bills and pickups are complete
• Ensure that each POD / BOL is properly completed according to guidelines.
• Be the go to person on the administration tasks
• Familiar with Office and computer procedures as well as paperwork associated with the assigned tasks.
• Verify that the driver recorded the arrival and departure times, for each stop, on the required paperwork.
• Ensure that the delivery bill of all refused/returned freight clearly indicates the reason for refusal.
• Ensure all paperwork (tractor/truck/trailer inspection reports, post and pre, run sheets, daily logs, etc.) are complete.
• Answer phones and redirect to the appropriate person.
• Other duties that may be assigned by Terminal Manager

Requirements and Qualifications

• Previous experience in a customer service and/or administrative role, preferably within the Transportation industry
• Excellent administrative and data entry skills
• Ability to multi-task (operations and administration) and work in a fast-paced environment
• Strong organizational and planning skills
• The ability to work both independently and as a team player
• Exceptional communication skills (both written and verbal)
• Able to work Monday-Friday
