About the Role

Earthrise Building Services Inc. is Yukon's premier retrofit accelerator and project delivery expert. We deliver community-scale residential retrofit programs that keep existing homes from degrading past the point of no return.

We're looking for an Assistant Project Manager to work alongside our Project Managers as the backbone of contract administration across our active and upcoming projects.

It is worth being direct about what makes this job unusual. Our projects are individually small — a house at a time — but delivered in aggregate at a scale that carries capital-project-level fiscal accountability and funder scrutiny. The contractors doing the work are residential builders managing paperwork alongside their own tools and time. The Assistant Project Manager sits right at that seam: producing documentation rigorous enough to satisfy an Owner, a funder, and an auditor, while keeping the process workable for the people actually on the wall.

This is a genuine growth role. You'll be handed real contract administration responsibility early, with senior people close by, on long duration projects. For someone with a few years of construction experience who wants to become a strong construction PM, there are few better places to do it.

Key Responsibilities

Contract Administration

• Prepare, track, and maintain change orders, change directives, and project communication channels — from initial pricing request through to executed document and budget update.
• Manage the RFI and submittal process: log incoming requests, route them to the right technical reviewer, chase responses, and close the loop with contractors.
• Support progress claim and invoice review, including verifying quantities and completed work against site records before certification.
• Maintain organized, audit-ready contract files across multiple concurrent projects — correspondence, approvals, executed documents, and the paper trail behind every decision.
• Track contract deliverables and compliance requirements: insurance, WCB, warranties, permits, and closeout documentation.

Reporting & Project Controls

• Own the assembly of monthly reporting — pulling site data, cost status, and schedule updates into complete, accurate submissions that go out on time.
• Maintain project schedules and budget trackers, flagging variances and slippage to the Project Manager early rather than at month end.
• Record meeting minutes and maintain action registers, then drive the follow-up so items actually close.
• Keep programme status current across active projects so the whole team is working from the same picture.

Site & Field Support

• Attend site regularly to observe progress, confirm work matches the approved scope and design intent, and gather the records that contract administration depends on.
• Track deficiency lists through to resolution and support the substantial completion and closeout process.
• Be a useful, credible presence on an active site — comfortable in work boots, able to read sequencing and safety protocols.

Team & Process

• Act as a reliable point of contact for contractors on administrative and documentation matters.
• Support funder reporting and claims requirements alongside the Project Manager.
• Feed what you learn back into Earthrise's internal processes, templates, and tools — we build our own delivery systems and everyone contributes to them.

Qualifications

• Diploma or degree in Construction Management, Engineering Technology, Architectural Technology, Building Science, or a related field — or equivalent trades and site experience.
• 2–5 years in construction, with meaningful exposure to project coordination, contract administration, estimating, or site supervision.
• Working understanding of construction contract mechanics: scope, change management, progress claims, and why documentation matters.
• Strong organizational discipline and attention to detail — you can hold many small open items across several projects without dropping them.
• Clear, professional written communication; able to write a change order narrative or a site report that reads the same way to a contractor, a client, and a funder.
• Confident with spreadsheets, document management, and project software; quick to pick up new digital tools.

Assets

• Exposure to building envelope or mechanical retrofit scopes — foundation work, air sealing, insulation, windows and doors, siding, HRVs, or heating systems.
• Experience with CCDC contracts or other standard-form construction agreements.
• Experience on publicly funded or funder-driven construction programs.
• Familiarity with Yukon construction practices and regulatory requirements.
• Progress toward CAPM, PMP, Gold Seal, or a retrofit-specific credential (BPI, Passive House, EA).
• Experience working with First Nations governments or communities.
