Finance and Operations Coordinator

Position Overview

The Finance and Operations Coordinator is responsible for supporting the organization's financial and operational functions, with a focus on day-to-day accounting tasks, payroll processing, scheduling support, and receipting. This role plays a vital part in ensuring smooth financial operations, accurate record-keeping, and organizational efficiency.

The ideal candidate will be detail-oriented, experienced in financial systems like Sage 50 and Payworks, and capable of managing both financial workflows and administrative support with precision and confidentiality.

Key Responsibilities

Financial Management

• Process accounts receivable and accounts payable transactions accurately and timely.
• Manage general ledger entries and account reconciliations in Sage 50.
• Maintain financial documentation and filing systems.
• Prepare bank deposits and monitor cash flow activities.
• Assist with monthly, quarterly, and annual financial reporting.

Payroll and Benefits Administration

• Administer bi-weekly payroll through Payworks, ensuring accuracy and compliance with applicable legislation.
• Manage employee records related to payroll, benefits, and statutory deductions.
• Respond to payroll inquiries and assist with year-end processes including T4s and ROEs.

Scheduling and Administrative Support

• Coordinate and maintain scheduling systems for staff.
• Assist with administrative duties related to employee onboarding and time tracking.
• Provide general operational support across departments as needed.

Donor Receipting and TAC Receipts

• Process donation receipts and ensure compliance with CRA regulations regarding tax receipting (TAC receipting).
• Maintain accurate donation and receipting records within the organization's system.

Financial Systems and Process Improvement

• Ensure financial data integrity within Sage 50 and Payworks.
• Contribute to the development and refinement of financial and operational processes for efficiency and compliance.

Qualifications and Experience

• Diploma or certificate in Accounting, Finance, Business Administration, or a related field (or equivalent experience).
• 3+ years of experience in accounting, payroll, or financial administration.
• Proficient in Sage 50 Accounting Software and Payworks Payroll Software.
• Experience with accounts payable, accounts receivable, payroll processing, and tax receipting requirements.
• Strong knowledge of financial and payroll regulations.
• High level of accuracy, confidentiality, and attention to detail.
• Proficient with Microsoft Office Suite (especially Excel) and scheduling platforms.

Job Types: Full-time, Part-time, Permanent

Pay: $52,600.00-$64,350.00 per year

Expected hours: No more than 37.5 per week
